Chevron Australia Products has an exciting opportunity for Administration Officer role to join the Fleet Administration team. Reporting to the Fleet Administration Manager, this role will be based in Darwin.

The Administration Officer provides administrative support to the Fleet Maintenance team, works with the Logistics Administration and Operational Teams, and manages all aspects of Fleet Maintenance Administration tasks for the business.

Responsibilities for the position include, but are not limited to:

I. Financial:

  • File Service & Repair Sheets (RT) and Manual Purchase Orders (MPO's) < $1,000

  • Chase physical “Goods Received” from the Business (Workshops, Operations, Logistics) via email confirmation or signature on Manual PO to ensure that the invoices posted are approved for payment

  • Follow up service or repair invoice queries as directed by the Fleet Manager

  • Process insurance claims in conjunction with accounts department

  • Process all External Invoices and RT's and follow up vendors on Overdue Invoice's and RT's

  • Communicate all changes to Logistics Admin Manager to ensure costs are on charged

II. Vehicle Service Administration:

  • Check status of jobs using the existing Fleet Maintenance Database

  • Close out Service & Repair sheets (RT's), check invoices & note or discuss any issues identified with the Fleet Manager

  • Communicate with vendors, instruct them on how to complete Service & Repair sheets (RT's), gather info on how they require Service & Repair sheets (RT's)

  • Update new service codes, task codes and location codes

  • Monitor outstanding Service & Repair sheets (RT's)

  • Collect Odometer and Hour Meter Readings

  • Assist with general enquires from internal staff and external vendors regarding Servicing, RT's, Hours and Kilometers

  • Manage the upkeeping of CMS Maintenance system

  • Follow up on warranty issues in conjunction with Fleet Manager and Workshop Supervisors

III. Administration:

  • Provide support and assistance to Directhaul operations and management as required

  • Ensure correct mapping of assets (trucks, trailers, dollies, light motor vehicles, EDL equipment) against details of charges to vendor invoices ensuring costs are allocated to the correct assets based on Fleet records

  • Assist with 12 monthly NHVAS, WAHV, Trucksafe Audits

  • Update new and old equipment specifications into CMS data base as required

  • Carry out parts pricing audits as requested

  • Maintain individual Fleet Asset files

IV. Reporting:

  • Run expiry date reports and other reports as requested from Workshops

  • Assist Workshop Managers with notification reports follow up / investigations as required

Knowledge, skills and experience:

  • Minimum Year 12 Certificate

  • Advanced skills in Microsoft Office Products (Word, Excel, PowerPoint, etc)

  • Office Administration Certificate (preferred but not required)

  • Experience in fleet maintenance, transport and/or logistics operations

  • Well-developed interpersonal, verbal and written communication skills

  • High level of accuracy and attention to detail (data entry skills) – speed and accuracy

  • Ability to meet deadlines and manage multiple tasks

  • Very good problem solving skills: ability to anticipate issues and raise them with Manager before they escalate

  • Ability to effectively interface with all levels of an organization

  • Exposure to digital innovation (desirable).
