The Role

This administrative position is responsible for assisting Real Estate management personnel in the provisioning of services in support of the safe and cost-effective operation of Lumen work environments. This position reports to the Real Estate Facilities Manager.

The Main Responsibilities
  • Provides administrative support to Facilities Manager(s), Building Specialists and/or other Real Estate team members
  • Maintains various records and files, completes data input, compiles information and prepares recurring and ad-hoc reports
  • Communicates with various internal resources concerning expense reporting, claims, invoices and staff payroll
  • Maintains various records such as Fire Life Safety Plans, Disaster Recovery Plans, Facility Guides and other building-related documents
  • Maintains database and associated reports for shared (3DC) expense tracking and invoice submittals, as required
  • Performs general clerical duties including email, phones, data entry and filing

What We Look For in a Candidate

•    High School diploma, college degree preferred
•    Computer literacy including proficiency in MS Word, Excel and PowerPoint programs
•    Ability to learn proprietary software programs
•    Strong typing/keyboarding skills with ability to type ≥30 WPM preferred
•    Self-motivated and able to work with minimal direct supervision
•    Ability and willingness to learn new processes, procedures and systems
•    Detail-oriented and organized
•    Ability to prioritize and meet deadlines
•    Team player with good interpersonal skills
•    Ability to work with diverse customer base, both internal and external
•    Strong written and verbal communication skills
•    Ability to concentrate on detailed tasks over extended periods of time
