Position Summary
As part of the RailWorks Major Projects organization, this position works closely with operations to set up, monitor, correct, and close-out projects and contracts within ERP.  This position will work with: Regional and area business heads, controllers, Track Operations management, project managers, estimators, and Corporate functions including Finance, Legal and Tax.  Additionally, this role is hands-on and acts as administrator in JDE.  this position will be responsible for entering in ERP all aspects of the project which include:  budgets, contract terms, and general costs.  Once job setup is completed, oversight and control of project administration remains in the scope of the position through completion. This includes some accountability for resolution of commercial issues that may arise during execution.


Primary/Essential Responsibilities and Duties

•    Set up Master Services Agreements and related projects
•    Contract set up in JDE
•    Work with project estimators to translate and interpret initial budget
•    Work with project team to create a Work Breakdown Structure (WBS) and enter in JDE
•    Load budget into JDE, including costs, man-hours, equipment hours and budgeted production quantities
•    Work with project management team to translate, interpret and clarify baseline cost budget
•    Work with Corporate Tax Department to ensure all tax codes are properly assigned to project and applicable WBS codes within project
•    Develop / Assign project level category codes
•    Maintain parent/child relationships for projects entered in JDE
•    Verify Labor and Equipment progress is being entered on a weekly basis.            
•    Monitor 3 Week Look ahead schedules.                              

  1. o    Look for accuracy and reasonable use / processes.

•    Review the TRACS forecast monthly.

  1. o    Use the Comparison report to look for significant changes from baseline information.
  2. o    Let the project team and business unit manager know of any concerns and address them.                                        
  3. o    Update the business unit controllers on the project standing so they can be aware and develop reports with consistent information;

•    Review Issues Log monthly (at a minimum);

  1. o    Stay up to date with status changes;
  2. o    Verify JDE is getting updated with current information;
  3. o    Verify documentation and backup is being collected related to issues;

•    Review Project Schedules Monthly (at a minimum);

  1. o    P6 schedules;
  2. o    Baselines;
  3. o    Monthly Updates;
  4. o    Milestone Tracking;
  5. o    Compliance with Schedule set up and Monthly Update Checklist;

•    Schedule of Values – Prime Contract;

  1. o    Verify a SOV is in place and being updated;
  2. o    Emphasize analysis by looking at “At Completion” Quantity and Contract Values;
  3. o    Encourage use of standard SOV format;

•    Schedule of Values – Subcontractors;

  1. o    Verify a SOV is in place and being updated;
  2. o    Emphasize analysis by looking at “At Completion” Quantity and Contract Values;
  3. o    Encourage use of standard SOV format;
  4. •    Use of Electronic Filing System and / or Contract Manager;
  5. o    Look for correspondence and verify documentation is in order;

•    Schedule and Maintain Project Reviews Periodically;
•    Engage in major changes or claims on projects;
•    Engage in pre-estimate reviews and planning as needed;
•    Keep metrics trackers updated;

Required Skills and Qualifications 

•    University degree in Engineering or commensurate experience in project management;
•    5 years in construction industry, preferably in rail transportation industry.
•    Thorough knowledge of project management practices
•    Demonstrated working knowledge of enterprise systems, experience with InEight (Estimating), P6 (Scheduling), JDE (ERP) & Austin Lane (Timekeeping) preferred
•    Ability to meet deadlines
•    Excellent written and oral communication skills in both French & English
•    Highly self-motivated and directed

Physical Requirements and Working Conditions

•    Report to location is Ville St-Laurent (Montreal)
•    Overtime may be required to meet project deadlines 
•    Works mostly in an office environment but is geared towards field execution (including a coaching mindset)
