Departmental Overview

The Department of Chemistry is one of the departments that compose the College of Chemistry, covering twelve major areas of research. Teaching and research facilities are maintained in Latimer Hall, Hildebrand Hall, Lewis Hall, Giauque Laboratory, Tan Hall, the Melvin Calvin Laboratory, Stanley Hall, Gilman Hall and LBNL facilities.  There are approximately 8,000 student enrollments in chemistry courses each year from both the Department of Chemistry and other departments all over campus . There are over 400 graduate students enrolled in the Ph.D. program at any one time with around 275 graduate student instructor appointments each year and 248 visiting scholars. The Department has 65 Faculty members serving as regular ladder rank faculty, professors in the Graduate School, active emeritus faculty,  adjunct professors, and full time lecturers.


Responsibilities
  • Facilitates/manages the academic review processes, identifying issues relating to policy and compensation
  • Manages and monitors the departmental academic case schedule (senate and non-senate); manages the full cycle of all academic appointment and review cases and pending academic personnel activities for senate faculty and non-senate faculty
  • Determines and assembles appropriate materials for academic review cases in compliance with University policy and communicates directly with faculty (senate and non-senate) to obtain materials and make corrections; formats and prepares data/materials for case presentation; uploads to and maintains APBears records 
  • Summarizes teaching data from course evaluations and maintains additional information related to academic review cases including semesters of teaching (relief), departmental advising/service records
  • Drafts correspondence and solicitation letters, letters of recommendation, and case reports on behalf of Department Chair; oversees departmental voting process and takes minutes at faculty discussion for academic cases
  • Maintains and updates departmental budgetary commitments to faculty at retention and appointment
  • Manages and maintains faculty leave records, advises faculty on leave policies/procedures/eligibility; facilitates and administers full process for academic leaves (including LWOS and ASMD) and sabbaticals
  • Advises and notifies faculty on award cycles and nomination deadlines; drafts nomination letters on behalf of the chair and compiles nomination material; tracks award activities and recognition; facilitates nomination submission; manages Miller Institute nomination endorsement process with chair and departmental committee
  • Liaise with BRS on Academic Personnel matters; serve as primary Department contact on senate academic personnel for various units on campus
  • Coordinates the academic search process, including placement of ads, drafting of search plans, and conducting the initial screening of materials submitted
  • Supports faculty search committee with OFEW search procedures and online recruiting system (AP Search)
  • Coordinates and administers academic recruitments; serves as point of contact for the Department with OFEW and AP Recruit
  • Organizes and manages full process for candidate interviews; coordinates candidate travel and lodging with other departmental staff  
  • Involved in faculty onboarding with HR staff
  • Provides strategic advice and counsel to unit head by analyzing and interpreting system-wide and organization policies, collective bargaining agreements, academic personnel procedures and practices
  • Participates in events and workshops relating to Academic Personnel; keeps abreast of new AP procedures/practices and updates the chair and department manager
  • Interprets, communicates and implements policies/procedures and programs in academic recruiting, instructional labor contracts, salary administration; manages salary supplementation (including requesting approvals and liaising with HR/payroll) for senate and non-senate faculty including summer salary and LBNL stipends
  • Counsels senate and non-senate academics concerning moderate to complex work-related problems 
  • Analyzes and interprets guidelines and policies to provide advice and counsel to unit academics on issues such as compensation, work-eligibility (visa) matters such as H1-B processing or PR application, and benefits considerations
  • Independently reviews, analyzes and makes recommendations related to senate faculty regarding sabbatical supplementation, research recall, professor of the graduate school and teaching recall appointments  
  • Independently analyzes data and advises chair on best alternatives and strategies on a variety of topics; researches relevant data records and information pertaining to each academic personnel review case; counsels chair and department manager in the interpretation and application of the academic senate personnel, using the University and Academic Senate directives on personnel matters
  • Assists chair with annual FTE request
  • Provides administrative support to department chair (independently drafting correspondence for chair's signature, maintain schedule of pending matters and scheduling appointments); ensure chair's directives are disseminated to faculty on timely basis; works with chair on annual departmental committee assignments; maintains and manages departmental faculty meeting schedule (including processing related payment to The Faculty Club); provides advice and guidance to departmental faculty support administrator group on academic personnel matters
  • Completes annual external reports regarding academic personnel; interacts with campus BearBuy system (submitting and approving requisitions (e.g., faculty relocation reimbursements), maintaining blanket purchase orders on behalf of faculty and department); requests summer sessions instructor appointments via campus eHire system; oversee and manage online instructor teaching evaluation process with departmental course scheduler; manages endowed chair appointment and re-appointment requests; oversees entire APM-025 process; attends trainings and meetings as scheduled and participates in department and campus committee meetings; other academic personnel duties as assigned

Required Qualifications
  • Requires thorough knowledge of and ability to apply / interpret organization and college policies and procedures which govern academic HR.
  • Thorough knowledge of systemwide and organization policies, union contracts, procedures and practices that govern academic HR administration.
  • Ability to analyze complex management issues, develop project scope and solutions, give professional advice to senior officials and make critical decisions regarding personnel.
  • Ability to communicate effectively with diverse audiences.
  • Excellent critical and innovative thinking to address moderately complex issues and present nuanced analyses.
  • Bachelor's degree in related area and / or equivalent experience / training.

Preferred Qualifications
  • Thorough knowledge of, or can learn, organization and college goals, priorities and values and the legal and human implications of decisions.
  • Knowledge of trends in academia, especially in areas of academic planning, human resource management and administration.
