Departmental Overview

The Department of Earth & Planetary Science, within the Mathematical and Physical Sciences Division of the College of Letters and Science is one of the top ranked programs in the USA with 6 major specializations and several interdisciplinary programs in atmospheric science, climate, environmental geoscience, marine geophysics and planetary science. It has links to programs in the Departments of Chemistry, Astronomy, Geography and Environmental Science and Policy Management. The department consists of 40 faculty, including adjuncts and emeritus, approximately 60 graduate and 150 undergraduate majors, 30 post-docs and visitors, several researchers and 9 staff FTE. Research, education and service in EPS is driven by a fundamental human curiosity about the past, present and future of Earth and other planets. We underpin our intellectual mission with a comprehensive dedication to equity, accessibility and inclusion for all.

Responsibilities

The Director of Student Services plans, develops, and implements standard operating procedures for the management of all student services areas (undergraduate, MA, and PhD) in EPS and works with department manager to ensure consistent and effective administration. Leads projects that may require efforts to coordinate with outside partners in planning and developing new programs, procedures, and policy. 

Curriculum Development:

  • Oversight of curriculum planning, classroom scheduling, enrollment management, and GSI hiring.
  • Devises curriculum planning in collaboration with chair and faculty, and with other departments, to ensure students' progress through course sequences, avoiding conflicts, and ensuring compliance with campus-wide policies.
  • Work with the curriculum committee, department chair, and faculty advisors to update the curriculum for eight minors and six majors.
  • Make recommendations to the department chair and department manager on lecturer hires and teaching.
  • Advises department/school/college chair/dean on complex curricular issues and recommends courses of action when new courses, programs are introduced. Utilizing extensive knowledge of course content, facilitates new course approval and curriculum revisions through interaction with the Coordination of College Policy, Academic Senate, or similar organization.
  • Oversees exceptional enrollment requests and advises which classes require a course form.

Academic Advising and Policy Coordination:

  • Plan, manage, direct, and evaluate all functions of academic advising. Prepares reports as needed.
  • Advises department chair and faculty advisors of needed changes in existing policies and processes regarding students served in the EPS department.
  • Advises faculty on departmental / school / college and university policies and procedures.
  • Reviews students' progress and advises students and faculty on requirements for degree / program completion; identifies students with progression problems and recommends interventions.
  • Coordinate and oversee updates of program, policies, and reference materials for the undergraduate and graduate programs.
  • Identifies and refers for resolution intricate student issues/grievances such as alleged discrimination, complex grade dispute issues, and students' personal crises; recommends petition exceptions that affect the requirements of multiple departments.
  • Evaluates the effectiveness of the student academic advising function, and makes changes to the program to provide better service to organizational management, faculty, and students.  Leveraging current systems and utilizing new technology, works to streamline systems and business processes related to major applications, student records, and other student-related activities and services.
  • Oversee the updates of the Graduate Student Handbook.

Student Orientation:

  • Oversees and may conduct orientations of new students.

Events:

  • Work the event coordinator on Plans and implements, high-visibility student events, such as commencements, CalDay, job fairs, and career forums.

Graduate Student Funding:

  • Oversees the administration, evaluation, and awarding of student fellowships, grants, scholarships, and other awards; advises students on financial aid options of the organization and extra-mural fellowship opportunities; monitors assignment of Graduate Student Instructors (GSIs), Graduate Student Researchers (GSR's) and incorporates such appointments into graduate student support packages. Administers department's block grants and restricted funds for several funding programs including Ramsden Grants. Advises department chair and head graduate advisor(s) on available funds for entering students based upon special funding from all sources.
  • Communicates funding plans to students and executes award payments according to communicated payout dates in funding plans.

GSI/GSR/ASE/Student Assistant Hiring:

  • Oversees processes for equitable assignment of GSIs and coordinates GSI assignments each term with the support of Research Administrators, GSAO, Department Manager and in consultation with faculty. Hires GSRs in accordance with the terms of students' admission letters.  Manages ASE, student assistant and GSR appointments along with grants and scholarships to ensure financial equity across the student population.
  • Collaborate with the Campus Shared Services HR and RA to ensure graduate student's funding is administered accurately and in a timely manner.
  • Partners with BRS or UCB Grad Div as needed on GSR and ASE childcare reimbursements.

Recruitment and Admissions:

  • Plans and implements outreach programs with specifically targeted departments and institutions; advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals. Advises the department on outreach strategies, and helps identify targeted institutions to meet organization's goals; coordinates, reviews and advises chair/dean, students and faculty on transferability and applicability of non-UC Berkeley courses.

Graduate Admissions:

  • Utilizing in-depth knowledge of the organization's admissions criteria, advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; evaluates domestic and international transcripts for degree eligibility; helps rank applicants for admissions; evaluates domestic and international transcripts for degree eligibility; may initiate and arrange student recruitment visits.
  • Consolidating applicant files, following up on missing materials, summarizing applicant qualifications, and preparing materials for review 

Supervise Staff:

  • Supervise, hire, train, mentor the Student Services Advisor.
  • Appraise and manage staff performance.
  • Cultivate and maintain a culture of co-operations and teamwork within the department.
  • Conduct annual performance evaluations. Responsible for corrective action and termination.
  • Coordinate and oversee distribution of responsibilities among the Student Services Advisor and Director of Student Services.
  • Is responsible for ensuring appropriate and on-going training of the staff, as needed.
  • Backs up position as necessary.

Preferred Qualifications
  • Working knowledge of advising and counseling techniques.
  • Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Knowledge of complex U.S. visa and immigration procedures, compliance issues, and employment eligibility / authorization for international students and scholars.

Salary & Benefits

Annual salary will be commensurate with experience within the range of $51,700-$80,000.
