The BEES Administrative Unit provides business services for a large and complex operation encompassing extensive teaching, research, and outreach components for the Botanic Gardens, Earth & Planetary Sciences, and Environmental Sciences in the College of Natural and Agricultural Sciences (CNAS). In addition, BEES supports the UCR employees and campus purchases of the USDA Salinity Laboratory and provides conference management support for all units within CNAS.
The Earth & Planetary Sciences (EPS) Assistant will function as the Purchasing Assistant & Travel Coordinator with primary responsibility for Earth & Planetary Sciences. In addition, this position provides administrative support for the Department and the Chair by coordinating a variety of outreach events including a weekly BBQ, providing oversight for the department-owned and -leased vehicles, scheduling summer session courses, acting as the department liaison for faculty and graduate student recruitment, and various administrative duties as needed.
The successful incumbent will work with a diverse set of customers and will have a cheerful, welcoming, and patient attitude. We are willing to train the right person to work quickly and accurately; to take ownership of assigned duties as demonstrated by shepherding tasks to a successful conclusion, and to promptly communicate problems and issues to the Financial Services Supervisor. Due to budgetary constraints, salary may be limited to a maximum annual salary of $50,718 ($24.29 per hour). Please note: Applicants will be required to complete a skills assessment as part of the selection process.
Minimum Requirements High School Diploma plus five (5) years of Administrative Experience or an equivalent combination of education and experience
Strong interpersonal skills, service orientation, active listening, and effective verbal and written communication skills. Ability to maintain confidentiality.
Ability to work independently with minimal direction; skill in prioritizing assignments to complete work in a timely, organized, and accurate manner under the pressures of deadlines, interruptions, distractions, and competing priorities and requirements.
Skill in utilizing a personal computer and office software applications such as Microsoft Excel, Word, and Outlook and demonstrated experience in accessing and retrieving data from on-line applications, purchasing, and financial systems; skill in maintaining accurate records with strict attention to detail.
Experience scheduling complex meeting logistics and travel arrangements with attendees from multiple offices/locations; and experience interpreting, applying, and explaining policies and procedures related to travel, entertainment, general purchasing, and accounting.
Ability to research and analyze information to formulate and implement solutions to problems.
Must possess or obtain a Valid Drivers License in accordance with the California Department of Motor Vehicles in order to drive a university/personal vehicle for university-related business. Preferred Qualifications Associates degree in a related field, and two years recent experience performing administrative, purchasing, and accounting functions, or an equivalent combination of education and experience.
Experience working in an institution of higher education.
Knowledge of UC and UCR policies and procedures.
Prior experience using UCR's online applications.
