The Lab Administrative Coordinator supports the administrative functioning of our Human Rights Investigations Lab. The coordinator supports the Lab Director in all of the administrative tasks required to make the Lab, and associated training, run smoothly for students and staff at the Human Rights Center, and the Lab's external partners.
This job supports the functioning of our Human Rights Investigations Lab, which is one of the most administratively heavy programs within the center. The primary responsibilities of this position are to ensure smooth day-to-day operations, effective information management, and timely communication with lab members and staff. The position supports students engaged with the Lab and its investigations —providing systems administration, information management and timely communication with lab members and other staff.
- Coordinates all Undergraduate Research Apprentice Program (URAP) applications and selection process for management and selection committee; Duties include, but are not limited to, screening student applications, compiling resumes, verifying candidates meet selection criteria, coordinating and scheduling interviews.
- Facilitates and assists with the administration and onboarding of students.
- Serves as the first point of contact for students. Exercises judgment within defined guidelines to resolve student inquiries and administrative system issues that are routine in nature and of low complexity. Proposes solutions and brings problems to resolution, including providing hands-on technical assistance. Escalates non-routine and/or complex inquiries and issues to appropriate parties and assist with resolution when necessary.
- Maintains accurate student records, track participation or issues, and present information to lab leadership as appropriate. Working with faculty and staff, facilitates the evaluation of student involvement in the lab; provides lab leadership with relevant information to support fundraising and financial management.
- Assists lab leadership in planning and delivering the annual schedule of lab-related training and events, taking into consideration UC Berkeley's multiple academic calendars and proper sequencing of lab projects (i.e team distribution, scheduling meetings, and access to project resources)
IT & Communications:
- Supports the Lab Director in maintaining an accurate record of meetings with partners to support investigation planning and the delivery of outputs;
- Working with faculty, ensures the information provided to students and lab members is accurate, timely and accessible;
- Manages effective information management systems and processes to support the effective coordination of lab projects, including the provision of learning resources and project information; Duties may include, but are not limited to, planning and coordinating the onboarding of students to the lab, suggesting new methods to streamline the process, propose effective automated ways to access administrative systems with investigations.
Participation & General Admin:
- Performing administrative tasks as needed to ensure the smooth functioning and inclusiveness of the Lab, including facilitating student feedback and improvements, organizing community events and day-to-day administrative tasks.
- Coordinates trainings, workshops and other functions specific to Investigations Lab: facilitates communications and scheduling with speakers and trainers, creates flyers, assists with outreach efforts, organizes food and other logistical aspects of event planning process.
- Helps develop logistical workplans for Investigations Lab and supports lab management in implementing them.
General Research support:
- Supports the Lab Director with basic research and/or open source investigations conducted with the Investigations Lab, including background research, investigation planning, fact-checking, and preparing final outputs to lab clients.
- Excellent organizational skills; Ability to manage competing deadlines with high levels of detail and accuracy.
- Strong written and verbal skills;
- Computer proficiency in Microsoft Office and GSuite; Knowledge of, or demonstrated ability to quickly learn, systems for information management and communication, such as Slack;
- Experience in systems administration, upkeep, configuration, and reliable operation of information management systems and services.
- Knowledge of or experience with open source investigations and human rights; cyber security; and information management.
- Knowledge of the purpose and functioning of the Human Rights Investigations Lab, including using resources such as VPNs, satellite imagery, or Tweetdeck.
- Knowledge of, or demonstrated ability to quickly learn, departmental policies and procedures in regard to student enrolment and academic scheduling.
- Working knowledge of data privacy and security issues, and the ability to apply this knowledge to managing confidential information related to projects or personnel.
Salary & Benefits
This is a non-exempt, biweekly paid position. Hourly pay range is $26.07/hr (Step 3) to $27.93/hour (Step 6), commensurate with experience.
