Hawthorn Senior Living currently has an immediate opening at our Vancouver, Washington home office for a Leave and 401k Coordinator.

In this role, the Leave and 401k Coordinator manages and administers employee leave requests, ensuring compliance with state and federal legal requirements and company policy; generates appropriate documentation; communicates with employees and managers to answer questions and ensure timely processing of leave requests and requests for accommodation. The position requires an in-depth knowledge and understand of FMLA and state leaves and how and when the ADA interacts with other leaves of absence. As needed, this position provides special guidance and assistance to all locations for leaves that may be eligible for FMLA, PFML, ADA, ADAAA or other types of State or Federal employee leaves of absence; assists and coordinates with state paid leave laws; administers the Company's 401(k) Plan, including annual audits and ADP/ACP compliance testing.

​ESSENTIAL JOB FUNCTIONS

  • Administer employee leaves and retirement plans; additionally, backs up the Benefits Coordinator on medical, dental, vision; life insurance plans, temporary disability programs and assists as needed with annual Open Enrollment for Benefits and ACA compliance.
  • Prepare and send legally required State and Federal notices to employees unable to perform their job duties for reasons that qualify under FMLA, PFML, other state leave laws and the ADAAA.
  • Provides training and education to managers on policies and practices surrounding employee leave and general benefits information.
  • Confidentially answers all questions related to leaves and benefits and consults on some benefit related issues.
  • Maintains confidential leave of absence files, including sensitive HR related information.
  • Advises and counsels management and employees on existing 401(k) plan.
  • Assures company compliance with provisions of Employee Retirement Income Security Act. Supervise preparation of reports and applications required by law to be filed with federal and state agencies, such as Internal Revenue Service, Department of Labor, insurance commissioners, and other regulatory agencies. Review and analyze changes to state and federal laws pertaining to ERISA provisions.
  • Responsible for day-day administration of 401k deferral changes, distributions and loans.
  • Liaison between TPA, Investment Advisor, 401(k) Administrators and ERISA attorney.
  • Provides required documentation to 401(k) TPA for annual audit.
  • Provides required documentation, reports and files to 401(k) auditors for annual audit.

EDUCATION AND EXPERIENCE

Three (3) years of experience in leave and 401(k) administration preferred.

SHRM Certified Professional (SHRM-CP) or Senior Certified Professional (SHRM-SCP) preferred.
