Part time Executive Assistant

 

Location: Remote – based out of Melbourne, FL (occasional office in person meetings required)

 

Hours: Part-time, starting between 25-30 hours per week ; Monday -Friday 5-6 hours daily between the hours of 8a and 3p EST, it is likely this position can turn in to a full time 9-5 role down the road

 

Duration: contract to hire

 

Salary target: $30-33/hr.

 

Minimum travel may be required for event planning as needed

  • Client is seeking talent that currently resides within the state of Florida.
  • Client is notating that there will be times throughout the calendar year that the talent will need to report to the main office facility in Melbourne, FL for meetings/ in office activities.

 

Requirements

• Bachelor's Degree in Business Administration/ Management or equivalent.

• Minimum of 7 years' experience supporting C-Suite Executives.

• Solid knowledge of office procedures.

• Ability to work independently from conception to completion.

• Expert level verbal, written, and professional communication skills.

• Proactivity and self-direction.

• Very strong interpersonal skills.

• Excellent time management skills.

• High attention to detail.

• Proven ability to meet deadlines.

• Driven to ensure company's success.

• Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.

• Forward looking thinker who actively seeks opportunities and proposes solutions.

• Advanced knowledge of Microsoft Office Suite and Google.

 

Position Summary

The Executive Assistant is responsible for providing comprehensive support to the CEO/President and is the primary point of contact for internal and external constituents on all business matters. This position manages the CEO/President's daily calendar, including scheduling meetings, confirming appointments, and writing agendas and/or itineraries. This dynamic position requires a strong business sense, the ability to decipher priorities, and make sound judgment calls. It requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and discretion. The Executive Assistant serves as a liaison to the Senior Leadership Team. Duties performed are at the highest level possible on a consistent basis.

 

Essential Duties and Responsibilities

• Direct executive administrative support to the CEO/President.

• Facilitates the efficient utilization of the CEO/President's time through development and coordination of a complex calendar of appointments, meetings, and social engagements.

• Manages diversified and sensitive matters with a high level of confidentiality and discretion.

• Exercises good judgement in a variety of situations.

• Maintains comprehensive and accurate records.

• Complies and submits expense reports.

• Remains competent and current through self-directed professional reading, attending professional development seminars, and attending training courses.

• Substantial planning and scheduling of the CEO/President's calendar and meetings while ensuring CEO/President's schedule is respected.

• Resolves scheduling issues.

• Demonstrates leadership to maintain credibility, trust, and support with Senior Leadership Team.

• Prioritizes conflicting needs and handles all matters expeditiously, proactively, and with follow-ups.

• Makes travel arrangements and prepares agendas and itineraries.

• Completes projects assigned by the CEO/President by establishing objectives, managing time, monitoring progress, and problem-solving.

• Serves as event coordinator for various company functions.

• Compiles letters, memos, documents, or other items.

• Attends Board meetings and takes meeting minutes.

• May provide support to members of the Board.

• May create PowerPoint presentations.

• Maintains comprehensive and accurate records.

• Reviews, edits, creates, and distributes correspondence.

• Organizes and submits expense reports.

• Enhances the CEO/President and company's reputation in a positive light.

• May communicate directly on behalf of the CEO/President.

• Comply with applicable standards and ethics.
