Status: Full-time, 40 hours per week
Schedule: Monday-Friday, 7:30am-6:00pm availability (must be flexible for shifts)

Job Summary: 
 

Provides a variety of moderately complex medical office support/clerical/secretarial functions for one or more medical, professional, or research staff.

Primary Duties: 

  • Receives and screens telephone callers and visitors to the office. Responds to a variety of inquires, referring the inquiries of a technical nature to an appropriate staff member. Takes and forwards messages. 

  • Schedules patients' appointments and assists in the scheduling of the patients' appointments with other medical offices. Coordinates physician(s)' calendar, including patient appointments, surgeries, meetings, etc. 

  • Transcribes dictation including patient narrative and/or discharge summaries, general correspondence, and memoranda. Types letters, requisitions, reports, etc. from handwritten copy and/or notes. 

  • Completes preliminary registration for new patients and updates information on existing patients (inpatients and/or outpatients); obtains necessary recertification/verification/ referrals, signatures, copies of insurance cards, etc. May coordinate pre-admission testing. 

  • Enters physician charges into billing system, ensuring appropriate insurance coverage and providing Patient Billing Services with appropriate referrals, authorizations, and operative reports.   

  • Accepts co-payments; may deposit payments or forward them to appropriate personnel. 

  • May prepare exam room(s) between patients, based on procedure, and may assist physician in exam/procedure. 

  • Maintains office supplies and may assist in maintaining medical supply inventory for the department. 

 

Qualifications: 

  • High School Diploma or GED required 

  • 1 to 3 years experience as a secretary preferably in a doctor's office or medical environment required 

  • This position is represented by the Service Employees International Union (SEIU)
