Job Summary

This position is responsible for the management of all aspects of scheduling procedures performed in the operating rooms and GI suites across Prisma Health. Under the direction of the Executive Dir-Perioperative Admin Services, this position is responsible for the oversight of the scheduling for all Prisma Health perioperative areas, maintaining block schedules in the EMR, and assists in maximizing operating room utilization through effective block management. Collaborates regularly with the perioperative team to achieve and maintain OR efficiency while balancing available resources. Assures scheduling accuracy and provides education of direct reports, the perioperative team and physicians to meet this end. Manages direct reports including selection, training, performance, personnel records and payroll. Manages the functions and activities of the assigned unit, service, and program. Responsible for unit based budgetary management and human resources management.

Accountabilities

*Oversees the day to day operations concerning scheduling of operating rooms and GI suites across Prisma Health. Assures scheduling accuracy and maintains regulatory compliance. Manages block schedules to achieve the centralized goal of maximizing facility utilization.  Responsible for monitoring block utilization data, facilitates block requests and updating block changes in Epic.  Responsible for the Epic snapboard, keeping blocks up to date and all scheduling related features within Optime.

*Manages employees directly to include selection, training, retention, rounding, evaluating, coaching, performance planning, termination; maintaining personnel records and submits payroll for assigned staff.  Ensures appropriate staffing levels to achieve optimal outcomes.

*Assess, plan, implement and evaluate various short-term and long-term projects to meet Prisma Health goals. This includes the preparation and implementation of departmental goals and objectives. Regularly updates the Perioperative Operations Manual in collaboration with perioperative leadership.

*Works as a liaison between departmental management and Prisma Health I/S to improve or change scheduling functionality as needed in the EMR. Assists in the implementation and training of new or revised functionalities.

*Collaborates closely with the OR team and Medical Directors, including community facility CEO's to optimize the daily OR schedule and improve overall throughput, resulting in satisfaction for patients, physicians, staff and other customers.  Works closely with the physician practices, to include POM's, supervisors and office staff that schedule OR/GI procedures, to ensure a clear and synergistic working relationship.

*Responsible for educating system-wide perioperative team with the appropriate/current scheduling practices to improve scheduling consistency across Prisma Health.

*Responsible for developing  a culture within the scheduling office and customers that emphasizes collaboration and communication between medical staff, associated departments as well as our internal and external customers.

Supervisory/Management Responsibilities

Job has direct and/or indirect supervision of team members that may include final budget authority, hire/termination authority, performance appraisal responsibility and disciplinary authority. Job will be considered a member of management staff at Prisma Health or affiliate and will have direct reports.

Minimum Requirements

Associate's degree in a healthcare related field. Bachelor's degree preferred.

3 years experience in perioperative services. Procedural scheduling experience preferred.

Knowledge, Skills or Abilities

Knowledge of medical terminology required.

Must possess strong communication skills, both verbal and written.

Comprehensive knowledge of daily operations in surgical services required.

Computer skills including Excel and Word.

Scheduling experience in a healthcare setting (physician practice, procedural area, operating room, etc.) preferred.
