Schedule Details: Schedule varies Monday-Friday from 7:30 AM-4:00 PM The department assistant will work at the Heart & Vascular Center at ProHealth Care on Waukesha Memorial Campus. Job responsibilities include coordinating and providing support to staff for all aspects related to the Cardiovascular diagnostics department. Specific responsibilities include, but are not limited to: scheduling and calling patients, coordinating cardiovascular patient appointments, managing incoming requests, pulling reports and results, answering phones and messages that come into the cardiovascular department, processing incoming orders, studies, images and requests, updating and managing patient registries, monitoring the schedules for add on or stat procedures for scheduling and coordination with cardiovascular staff and providers. 

 

What You Will Do:

Responsible to perform a variety of administrative and clerical duties in an organized, timely and accurate manner.

 

Responsibilities:

  • Demonstrates the ProHealth Care OUR SPARK Standards of Performance – an essential requirement of every ProHealth Care employee.  We define our customer as everyone you interact with in your role.
  • Promptly answers/responds to phone calls, voicemails, and emails.
  • Prepares department correspondence and reports efficiently and accurately.
  • Coordinates departmental new hire orientation including issuing equipment and supplies, providing a tour and introductions, reviewing non-clinical policies and providing overview of computer, voicemail, etc.
  • Develops, implements and revises departmental forms.
  • Updates departmental policies and procedures.
  • Coordinates computers for clinical staff including issuing, ordering accessories, keeping equipment charged and supplied, and troubleshooting.
  • Assists in updating and maintaining staff schedule calendars.
  • Updates departmental website as needed.
  • Orders and distributes uniforms for clinical staff.
  • Orders office supplies and monitors office equipment for required service, etc.
  • Assists in coordinating inservices/department meetings including sending meeting request, arranging A/V needs, setting up room, preparing agenda and handouts, and taking and distributing minutes.
  • Creates, maintains and ensures accurate filing of reports and other information.
  • Assists with data entry, reporting, copying, and collating.
  • Assists with printing, labeling, and assembling materials for distribution.
  • May maintain timekeeping records and function as Kronos editor.
  • Performs other administrative/clerical duties as assigned.


What you will need:

  • High school diploma or equivalent.
  • Related experience preferred.
