Overview

The Department of Buildings and General Services (BGS) Fleet Management is seeking a dedicated and detail-oriented Fleet Administrative Coordinator to join our team!

 

Fleet Management Services (FMS) is the centralized fleet services program. FMS is responsible for the management and oversight of all state-owned passenger vehicles and light duty trucks.


The Fleet Administrative Coordinator will play a pivotal role in overseeing various aspects of fleet purchasing and leasing. This includes managing vehicle procurement processes and analyzing transportation demands to advise departments on suitable vehicle selections. The coordinator will also monitor compliance with electric vehicle mandates, promote EV adoption, and handle the administration and adjustment of lease agreements. Establishing customized lease rates, managing accounts billing, and administering accident claims are also key responsibilities.

 

In addition, the role involves developing vehicle specifications, sourcing upfit equipment, recording and managing fleet data, and providing necessary system support. This position will be tasked with coordinating vehicle deliveries and registrations, conducting asset inventories, and reporting any discrepancies.

 

We are looking for a collaborative team player who thrives in a small team environment and is willing to perform routine data entry tasks and mathematical calculations. Strong problem-solving skills, a high attention to detail, and the ability to meet ongoing deadlines are essential. The ideal candidate will have the initiative to research and document state or federal regulations related to fleet management and procurement. Proficiency in Microsoft Office Suite, particularly Excel, is required. Excellent written and verbal communication skills are necessary for effective interaction with leadership, employees, and vendors.

 

This position is office-based, with all tasks performed on-site.

Environmental Factors

Work is performed in a standard office setting, but some travel may be required, for which a private means of transportation is required.

Minimum Qualifications

Four (4) years or more of administrative experience that includes duties related to asset management, accounting, or finance. 

Preferred Qualifications

Associate's degree or higher in business, accounting, or related field.

Experience using VISION and/or Assetworks FleetFocus fleet management software.

Ability to manage data housed within a complex database.

Ability to learn new computer programs.

Ability to read and understand policy/statute.

Ability to understand vehicle specifications.

Special Requirements

A valid driver's license is required.
