Biomedical Engineering is an academic department with full teaching and research programs in the College of Engineering. The community includes approximately 550 undergraduate student majors, 120 graduate students, 24 ladder rank faculty, 14 administrative and technical staff, 8 staff research associates, 30 academic federation personnel, 29 postdoctoral scholars and 12 visiting scholars and junior specialists.


Job Summary

Under the general supervision of the COO and working closely with the Department Chair and Dean's Office Academic Personnel Analyst, serve as the academic personnel expert within the department. Provide analytical and administrative support for all actions pertaining to academic personnel matters, including Academic Senate and Academic Federation, postdoctoral scholars, visiting, and lecturer titles. Collaborate with academic personnel analysts across the entire College of Engineering to provide advice and guidance on personnel policies and procedures.

PHYSICAL DEMANDS

  • Physical Demands: Sitting – constantly; Must be able to work at a computer for extended periods of time.
  • Lifting Requirements: Up to 25 Pounds (Light); Requires lifting up to 25lbs of office supplies and/or boxes.
  • Equipment Used to Perform the Duties: Computer and Peripheral Equipment – constantly.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

·       Demonstrated experience working with committees, drafting minutes, reports, and interpreting policies and procedures.

·       Experience maintaining a high degree of discretion, integrity, diplomacy, and sensitivity to confidentiality and privacy.

·       Experience working in a professional environment managing projects and multiple tasks including working with faculty or PIs, establishing good rapport to perform in a fast-paced environment, planning and coordinating assignments, adapting to changing priorities, meeting deadlines, and maintaining a high level of productivity efficiency.

Minimum Knowledge, Skills, and Abilities (KSA):

·       Analytical, critical thinking and applied problem-solving skills to research and analyze complex information to derive conclusions and provide innovative solutions.

·       Interpersonal, written, and oral communication skills to effectively respond in a timely professional manner by email, in person, video conference, or by telephone. High attention to detail to edit, proofread, and analyze documents for accuracy.

·        Strong organization skills to prioritize and handle projects and workload to meet multiple and conflicting deadlines and the flexibility to deal with people and competing demands.

·        Demonstrated ability to utilize and learn new technologies including Microsoft Office suite applications, email, calendaring, and internet.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:   

·       Experience with UC Davis personnel systems such as MIV, APHID, RECRUIT, UC OATS.

·       Experience preparing or reviewing UC Davis merit and promotion dossiers.

·       Knowledge and experience analyzing and interpreting UC policies and procedures relating to Academic Senate, Academic Federation, and Unit 18 personnel.

Preferred Knowledge, Skills, and Abilities (KSA):

·       Knowledge of UC System and shared governance, Davis Division of the Academic Senate, Academic Senate Bylaws, voting and balloting procedures and the Academic Senate committee structure.

·       Knowledge of academic personnel policies, in particular recruit and administrative titles.

·       Familiarity with system wide, campus wide, and college administrative organization, policies, and procedures.
