Minimum Qualifications

  • Proven experience as an Administrative Assistant or similar role, preferably supporting academic leaders or high-level executives.
  • Exceptional organizational and time management skills, with the ability to multitask, prioritize tasks, and meet deadlines. Ability to assign priorities to numerous projects simultaneously with attention to detail.
  • Proven experience with coordinating events such as scheduling meetings and speakers, reserving rooms, ordering supplies, tracking inventory, and handling correspondence.
  • Strong interpersonal and communication skills to effectively interact and communicate with prospective and current students, staff, faculty, and administrators.
  • Excellent written and verbal communication skills, with a keen eye for detail. Ability to work effectively in a team-oriented environment.
  • Experience using various computer applications (Microsoft Office, Outlook, social media, and website management) to create event materials, answer correspondence, and update web pages.
  • Flexibility and adaptability to handle changing priorities and work under pressure.
  • Ability to exercise discretion and maintain confidentiality with sensitive information.

Preferred Qualifications

  • Bachelor's degree in business administration, Communications, or a related field.
  • Experience in a research or academic environment.
  • Experience preparing documents, reports, and flyers, and editing and proof-reading final copy for spelling, and attractiveness.
  • Experience managing educational activities (seminars, workshops, etc.).
  • Communication public relations experience.
  • Knowledge of UC Davis AggieExpense and AggieBuy.
  • Knowledge of university event policies and procedures.

Department Description

This position will provide high-level administrative support to the center director, the deputy director, the administrative director, project leaders, and the training and dissemination leadership group. The individual should be able to work independently in an environment characterized by multiple tasks, frequent interruptions, and changing work priorities. The individual will be responsible for updating the center's web page, assisting in training and dissemination efforts, and organizing events.
