The Office of the Registrar is looking for an individual with student record or other administrative higher education experience to fill our vacant Administrative Services Officer I position. Apply now to join our team!


The Administrative Services Officer I will assist and support in the planning and coordination of the administration, procedures, and processes for the Office of the Registrar.

Minimum Education and Experience

Bachelor's degree and seven years of experience in a job at or above the level of Administrative Assistant or the equivalent combination of relevant education and experience; two of these years must be in a position with unit-wide scope.

Preferred Education and Experience

Previous work experience in a higher education environment, preferably within a Registrar's office.

Essential Duties and Responsibilities

  • Provide support to the University Registrar and the Office of the Registrar's leadership team by performing a variety of administrative and student record-related duties requiring a thorough knowledge of University and department structure, policies, and procedures, student records requirements, and administrative functions.
  • Manage and maintain individual and office calendars; coordinate, schedule and, as required, attend both in-person and virtual meetings with internal and external stakeholders; prepare, organize, and maintain meeting agendas and detailed minutes; research vendors and obtain quotes when requested; and, assist with organizing and maintaining a variety of records in accordance with departmental, institutional, and state policies and practices.
  • Establish and maintain contact with staff in other University offices as a primary liaison for the Office of the Registrar; may respond to e-mails and phone calls on behalf of the University Registrar.
  • Provide assistance to students, faculty, and staff and reply to inquiries via e-mail, telephone, the Registrar's intranet queues, and in person.
  • Assist various Office of the Registrar teams with assigned student records-specific tasks during designated peak time periods each semester.
  • Notarize student records-related documents including official transcripts, diplomas, and certificates.
  • Perform general office upkeep tasks such as retrieving, sorting, and distributing department mail on a regular basis, delivering request forms and records to various locations across campus, and restocking office and kitchen areas with supplies; may coordinate with the Enrollment Management Unit's Administrative Business Operations Team to request supplies and other items and to make departmental purchases.
  • May participate in Office of the Registrar and Enrollment Management Unit events such as commencement exercises, registration and grading periods, and new student orientations, which may require standing and/or walking for extended periods of time.
  • Perform other duties and assist with special projects as assigned.


Additional Information

This position requires a State of Texas Notary Public Commission, or eligibility to be commissioned by the State.

  • Strong written and verbal communication skills as well as active listening and interpersonal skills; knowledge of cross-cultural communication needs and styles and ability to respond accordingly
  • Excellent organizational, prioritization, and time management skills with the ability to complete several tasks and projects at a time
  • Ability to plan, coordinate, schedule, and monitor multiple tasks and activities in order to complete work assignments and projects efficiently
  • Detail-oriented and accurate with the ability to analyze, interpret, and prioritize information in order to make informed decisions, and to identify potential issues and possible solutions proactively
  • Ability to work collaboratively and effectively in a strong team environment, take direction, and follow instructions


Remote Work Notice
Following successful completion of an initial training period, a hybrid work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be cancelled.
