Job Title: Senior Workplace Services and Facilities Manager (Regional)


Job Function: Corporate Workplace Services


Location: St. Louis (Earth City), MO


Position Summary: Responsible for managing Facilities and Workplace Services operations across a regional portfolio of high-volume office locations, ensuring that all locations provide a safe, efficient, and welcoming business delivery environment. Based in Earth City, MO, this position includes responsibilities over office locations in CO, IA, IL, MD, TN, with recurring one-off support for additional satellite locations. The Regional Senior Manager role encompasses direct oversight of internal and external operations functions including but not limited to: Staff performance and development, Facilities management, workplace services and office administration, office maintenance and janitorial, physical security program support, compliance and audit program activities, property management liaison, business continuity and emergency preparedness, vendor services, finance and budget/spend management. We are seeking a dynamic hands-on Senior Manager with the ability to lead, partner and solve issues to deliver high quality and efficient services in a fast-paced, diverse and growing environment.


Essential Duties and Responsibilities: Additional duties may be assigned to meet business needs.


  • Ensure all locations within assigned region are properly operated and maintained, with a focus on building and occupant safety, workplace services and office administration deliverables, financial performance, location function/esthetics and continued readiness.

  • Development, implementation, and adherence to policies and procedures related to business continuity, facilities services, building safety, physical security, and general office operations.

  • Managing regional staffing levels and providing managerial support to staff at assigned locations. Perform consistent and frequent leadership, coaching, development, performance management and payroll processing to a team of staff directly and virtually.

  • Supports Physical Security operations across assigned region, partners directly with vendors and Corporate Security to ensure strategic goals and support needs are met.

  • Ensure assigned teams/direct reports respond to and resolve customer requests in a timely and satisfactory manner, with a goal toward exceeding customer expectations.

  • Establish and maintain relationships with various internal working groups and internal Cognizant departmental contacts.

  • Supports new client project implementations in coordination with IT, Real Estate, Finance, Security, and required vendor engagement.

  • Implementation and oversight of vendor services via creation of SOWs and service contracts for workplace services and facilities vendors: Janitorial, security, first aid, office supplies, furniture-fixtures-equipment, general repair and maintenance, etc.

  • Execution of internal and external audit processes, certifications, and compliance.

  • Provide continual evaluation of processes and procedures. Responsible for suggesting methods to improve regional operations, efficiencies and service to internal clients.

  • Management of Move/Add/Change and space management operations for assigned region.


  • Ability to respond for any afterhours emergencies required within the region. Must assess emergency situations, notify management and determine best course of action.


Qualifications:


Basic qualifications for this position include:


  • Bachelors Degree required

  • Minimum 5-7 years experience managing workplace services and office facilities teams across a multi-facility regional portfolio, preferably locations having >300 seated staff.

  • Credentials such as (IFMA) Facilities Management Professional or Certified Facility Manager credential along with additional relevant certifications may be considered in lieu of degree.

  • Demonstration of progressive management experience with ability to manage and develop teams of staff directly and remotely.

  • Ability to demonstrate and act upon a thorough understanding of facilities and workplace services operations within a high-demand corporate services environment.

  • Ability to handle multiple demands to set priorities, maintain a high level of attention to detail, and complete top quality work in a timely manner.

  • Strong problem-solving skills in dealing with ambiguity in a fast-paced setting required.

  • Past experience/relationships working with multiple property management firms, building inspectors and regulatory auditors, facilities and maintenance vendors.

  • Experience with construction and decommission projects, office build-outs, remodels, etc.

  • Knowledge of security systems, access control and camera systems

  • Strategic Thinker - must have a high level of interpersonal skills in order to manage and deliver results for diverse teams and internal functional areas. Position continually requires demonstrated poise, tact and diplomacy.

  • Excellent verbal and written communication skills are required. Must have a strong command of the English language, oral and written.

  • Ability to influence, negotiate, and partner with internal clients and external vendors.

  • Position requires proficiency in Microsoft Office Suite products, extensive Excel, SharePoint, accounting/purchasing platforms and web-based applications.

  • To be successful in this position, the incumbent needs to be punctual, have regular in-office attendance, be available and visible to our clients. This is not a telecommuting position.

  • Ability to travel across locations, potential 15-20% domestic travel to company locations sites where required.


Physical Demands: While performing the duties of this job, the employee is frequently required to stand; walk prolonged distances; lift; reach with hands and arms; climb or balance; stoop, kneel and crouch. The employee is occasionally required to sit. The employee must frequently lift and/or move up to 50 pounds.
