Duties and Responsibilities

  • Regular in-person collaboration and support
  • Completes a broad variety of high level administrative tasks for their Senior Executive and Senior Leadership including, but not limited to:
    • Manages extremely active calendars of appointments
    • Completes expense reports
    • Composes and prepares phone, email. and other correspondence
    • Arranges complex and detailed travel plans, itineraries, and agendas
  • Maintains the highest level of confidentiality in regards to all information
  • Plans, coordinates, and ensures schedules are followed and respected. Acts in a "gatekeeper" role, creating win-win situations for direct access to department leader
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Senior Executive. Determines appropriate course of action, referral, or response
  • Provides a bridge for smooth communication to internal departments; demonstrates leadership to maintain credibility, trust, and support with senior executive staff
  • Works closely and effectively with the Senior Executive and Executive Administrative Supervisor to keep him/her well informed of upcoming commitments and responsibilities. Acts as a "barometer”, having a sense for the issues taking place in the environment and keeps Supervisor and department leader updated as necessary
  • Plans and manages summits and department meetings while ensuring budgets are met
  • Manages vendor relationships
  • Demonstrates flexibility and maintains professionalism
  • Prepares and maintains documents/reports/spreadsheets using Microsoft Word, Excel, and PowerPoint
  • Coordinates and arranges meetings and secures meeting space
  • Plans and coordinates meeting lunches as necessary
  • Orders and tracks departmental supplies
  • Provides support and coverage when needed to the Executive Assistant team
  • Assists in the new hire on-boarding process and coordinates the first week detailed itinerary
  • Completes additional duties as assigned by the Senior Executive and the Executive Administrative Supervisor
  • Regular attendance is an essential function of the job

Skills / Experience (Required)
  • Strong work tenure: 5 to 10 years of experience supporting Senior Executives, preferably in a fast paced, results driven company
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with senior executives, executive assistants, and external partners
  • Highly skilled level of written and verbal communication
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Professional maturity
  • Highly resourceful team-player with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Bachelor's Degree preferred

  • stand, walk, sit for extended periods of time
  • speak and listen to others in person and over the phone
  • use keyboard and read from computer screen and reports
