The Coordinator reports to the Director of the clinic/department and is responsible for the coordination of the day-to-day activities within the assigned clinical/department pod. The Coordinator will perform duties under minimal supervision and may provide direction and instruction to support staff. With primary focus on exemplary patient experience he/she will monitor and coordinate patient care processes during clinic hours to minimize wait times and bottle necks and optimize physician and department/clinic resources. Provide recommendations to appropriate supervisors and work collaboratively to streamline processes and implement changes as needed.


Coordinator within the Department of Neurology, as assigned to subspecialty or responsibility across subspecialties (i.e., Medication Prior Authorizations, EMGs, Multiple Sclerosis, Neuromuscular, Headache, etc.). Coordinates appointments at Keck outpatient and inpatient settings; maintains schedule, ensures authorization and records are received as outlined by attending provider. Coordinate scheduling of procedures such as IV Infusion, EMG, skin and muscle biopsies, multidisciplinary clinics, and genetic testing. Stratifies patients based upon presentation of medical records; determines urgency and appropriateness of appointments in collaboration with Nursing and Faculty. Obtains/delegates authorization requests and coordinates diagnostic testing for patients as ordered by neuroscience provider. Triage patient calls to licensed personnel when medical judgment or advice warranted. May perform Medical Assistant duties as needed: Escorts patients to exam rooms, obtains and appropriately records patient vital signs/medication list, monitors patient flow, assists physicians with clinical procedures (EMG's), prepares patient chart with pertinent medical information. Performs various office and clerical duties. Ensures patient's right to privacy, safety, and confidentiality is maintained. Maintains a safe environment in accordance with standards, policies, and safety regulations. Ensures compliance with infection control policies. Assists manager/director with survey readiness (maintain exam rooms, hallways, storage areas). Order and restock medical/office supplies as needed. Assists entire department (25+ attendings) with medication prior authorization and refill notice to attending neurologist via electronic or paper method. Other duties as assigned.

Essential Duties:

  • Serving as the primary point person for the ALS multidisciplinary clinic, playing a critical role in providing comprehensive, continuous, and patient-centered care to patients and families with ALS and related disorders. The coordinator triages questions to the appropriate professionals, organizes the clinic schedule, facilitates flow of the clinic day, and coordinates follow-up appointments and orders to support continuity of care for people living with ALS. Regular communications with other ALS multidisciplinary team members. (35%)
  • Maintains database of all established ALS patients. (2.5 %)
  • Monitors and tracks the ordering of genetic studies, NM labs, imagine, and biopsies, as ordered by NM provider. Scans EDX reports into Cerner. (10%)
  • Follow up and collaborate with NM nurse on prior authorization and status for ordered NM medications and procedures and update care team periodically. (2.5%)
  • Performs NCS/EMG technician's duties, preparing patients and assisting NM provider and fellows during the procedure. (22.5%)
  • Assists physician with exams and procedures as needed such as Lumbar Puncture, skin punch biopsies utilizing Universal Protocol. (2.5 %)
  • Works with various hospital personnel to resolve issues and accommodate patient. Processes all referrals in a time manner adhering to patient confidentiality. (2.5 %)
  • Coordinate and schedule muscle biopsies, Coordinated with NM nurse patients' therapy on various specialized treatments (Onpattro, Amvuttra, Soliris, Ultomris, Vyvgart, Spinraza), which are administered at Keck Infusion Center and/or interventional radiology. (7.5 %)
  • Assist at risk patients, as identified by providers, and communicate closely with those patients to ensure continuity of care. (2.5 %)
  • Coordinate and schedule peer to peer reviews. (2.5%)
  • Monitor and track vaccination status for patients on complement inhibitors. (2.5%)
  • Ability to work independently and in a team setting to accomplish duties in a timely manner. (2.5 %)
  • Knowledge of proper chart format. Records patient information in EMR according to Joint Commission standards. (2.5 %)
  • Performs other duties as assigned.

Required Qualifications:

  • Req High school or equivalent
  • Req Specialized/technical training Graduate from an accredited Medical Assistant program
  • Req Must have excellent communication skills, including the ability to speak, read and write English proficiently.
  • Req Must be comfortable with computers and medical terminology. Some knowledge of all insurance types.

Preferred Qualifications:

  • Pref Bachelor's degree
  • Pref 3 years Minimum of 3 years' experience, preferably in acute care or ambulatory care setting.
  • Pref Knowledge of medical terminology
  • Pref Familiarity with word processing, IDX, Cerner, PBAR and scheduling software is preferred.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
  • Req Basic Life Support (BLS) Healthcare Provider from American Heart Association
  • Req Certified Medical Assistant - CMA

The hourly rate range for this position is $22.00 - $34.18.
