Position:  Records Specialist at Matsu DaySchool

Position FTE:  .50 FTE

Pay Grade:  6

Starting Wage:  $17.61, $18.14 if starting in FY25

Days Per Year:  221

Shift hours: 4 hours per day between the hours of 7am and 3:30pm and hours may be combined with the MDS Secretary 1 position

Job Summary: 
Under supervision maintains departmental files, compiles and prepares necessary data for District Administrators use in preparing budget projections and applying for funding.


Specific job responsibilities relevant for this position include:
The Records Specialist is a stand-alone classification.  The Records Specialist Federal Programs is distinguished from other classifications by its responsibility for working with Federal Programs documentation. The following characteristics and skills are desired for any interested candidate:

  • Collects student selection documentation, enters student test data, check eligible student files for all supporting compliance document, tracks and maintains student eligibility in appropriate student management system.
  • Provides general secretarial support including typing letters, memoranda and reports; receiving and distributing mail; copying and maintaining /updating appropriate filing systems.  Receives, sorts and distributes mail;  takes minutes; and assists in scheduling and/or coordinating meetings 
  • Greets visitors, answers telephones, provides information, transfers calls and/or takes messages.  Refers issues or concerns to appropriate party for resolution.
  • Transcribes and types various case notes and reports from school psychologists and itinerant specialists. 
  • Assist in processing student eligibility for special education; management of documentation required by law; record maintenance; Federal and State reporting; data recording; and coordination of transportation services.
  • Assembles student IEP documentation, reviews eligible student files for all required supporting compliance documentation, tracks and maintains data in appropriate student management system.
  • Conducts follow up through routine processes to maintain current information on student files.  Under direction copies and distributes records for referrals or transfers as required.  Assist in sharing of records as directed. 
  • Assists in and/or performs student enrollment and withdrawal procedures.  Registers students; assists in and/or assigns courses; introduces student/parents to instructors; assigns student identification number and enters appropriate student information into a computer system.
  • Maintains and updates basic student information (e.g. phone numbers, primary and mailing address, legal and current guardian and bilingual, migrant and Indian education data), grades, courses taken and credits earned on a computer system.
  • Assists in required data entry as prescribed and under the direction of the supervisor, to include AESOP, School Max, Munis, etc. 
  • Performs other duties of a similar nature or level.
 
Knowledge: General knowledge of office practices, equipment, filing methods. Basic understand of applicable programs.  

Skills (position requirements at entry): Must have basic skills in utilizing computer and related software applications.  Must be able to utilize established methods of filing, gathering and organizing data.  Must have experience preparing reports and reviewing and interpreting program regulations and requirements.  Must have communication and interpersonal skills as applied to interacting with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and receive work directions. 

Training and Experience (position requirements at entry): High School Diploma or G.E.D. and three years of detailed program experience; or, and combination of education and experience sufficient to successfully perform the essential duties of the job such as listed above. 

Licensing Requirements (position requirements at entry): Completed two years (48 semester credits) of study at an institution of higher education; or obtained as associate's degree or met a rigorous standard of quality and be able to demonstrate, through a formal State or local assessment, knowledge of and the ability to assist in instructing reading, writing, and mathematics (or, as appropriate, reading readiness, writing readiness, and mathematics readiness).

Physical Requirements: Sedentary Work:  Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.  Sedentary work involves sitting most of the time.  Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
