At NACE, our members are directly responsible for the career development of college students on their campuses and the hiring of the next generation of the workforce. Based on the needs and interests of our members, the Education and Events Department team delivers timely and effective professional development experiences to help them fulfill their roles.

As a crucial member of the team, the Event Specialist is responsible for project managing the execution of digital conferences and programs. The Event Specialist will primarily oversee NACE's virtual annual conference and expo as well as other signature virtual programs such as Summits/Symposiums/etc. that require logistical expertise. Generally, these high-profile events and programs will require management of a registration process, sponsorship fulfillment, digital event logistics and/or use of digital event technology, and potentially exhibitor's opportunities. The Event Specialist will work across the NACE organization, with vendors and members to ensure our digital meetings and events meet their intended revenue and content goals.

The selected candidate may work remotely from most anywhere in the U.S. with a preference in Eastern or Central time zones.

  Key Responsibilities
  • Create and manage project plans, schedule of events, planning processes, and logistics for digital meetings and events.
  • Collaborate with members of the Education & Events team along with other key departments to finalize the programming and content for digital meetings and events.
  • Manage the process and implementation of mobile App for in-person and digital meetings and events.
  • In collaboration with the Education and Events Coordinator, create and manage the registration process and system timeline for digital events, including the communication process across departments.
  • Provide support for webinar production that may include scheduling, technical run-throughs, and managing the webinar technology.
  • Coordinate and facilitate planning meetings with internal teams and external committees/groups.
  • Coordinate with the Marketing Department to develop the following for digital events: Sponsor Prospectus, sponsor, exhibitor, and attendee newsletters, advertisements, and other communications.
  • Collaborate with business development to plan for and identify branding and advertising opportunities, oversee fulfillment agreements, and sponsor and advertiser requirements for digital events.
  • Work closely with accounting and technology departments to ensure highly effective and efficient processes and systems are in place and troubleshoot issues as they arise.
  • Manage the distribution of digital event pre- and post-materials.
  • In collaboration with the technology department, oversee and manage the selection and implementation of digital technology platforms.
  • Oversee digital conference and program evaluations and data to identify opportunities for improving attendees' experience and prepare post-event reporting to be presented during debrief meetings.
  • Manage and coordinate other related activities, and other duties as assigned.

Qualifications to Perform the Responsibilities:

Education: Bachelor's degree in communication, education, business, non-profit management, or equivalent with a minimum of three years of experience managing complex projects.

Credentials (preferred): Three or more years of experience planning events for a professional association or non-profit is preferred, with Digital Events Strategist (DES), Certified Exhibits Manager (CEM), Certified Association Executive (CAE) and/or Certified Meeting Planner (CMP) credential(s) preferred.

Knowledge, Skills, and Abilities: Excellent written, verbal, organizational, project management, customer service, and public speaking skills are required. A high level of initiative and creativity is essential. The ability to communicate effectively and tactfully with NACE members and staff and present a positive image of NACE through these communications is essential. Advanced PC proficiency, including Microsoft Office, Outlook, Internet search engines, social networking sites and survey-writing packages and ability and willingness to learn new software and programs as required. Advanced knowledge of Zoom Events and Webinars, Learning Management Systems, and Aptify database or other customer relationship management (CRM) is preferred. Flexibility, adaptability, ability to work on a wide variety of tasks independently and in a team structure is necessary. Possess theability to meet deadlines, manage projects, set priorities, work independently, monitor and control expenditures, and demonstrate a high degree of attention to detail. Be able to work additional hours and travel as needed.

Physical Effort/Working Conditions: This position is remote and requires constant work on a computer. Occasionally, the Event Specialist must lift and move about 30 pounds, sometimes repeatedly. However, most lifting is less than 10 pounds. Must have strong interpersonal skills, be able to perform in a team environment, collaborate with others, handle multiple projects, be flexible with change, and meet deadlines.
