Description

Our West Trenton office is seeking an Executive Assistant, Associate who will use their advanced Microsoft Office skills (Word, Outlook, Excel, PowerPoint) to provide support in a fast-paced environment for Staff Attorneys and Senior Management of the General Claims Legal Department.

Hours: 8:30AM to 4:45PM OR 8:45AM to 5:00PM (Hybrid- 3 days in the office and 2 days remote)

Salary: $48,600 - $56,460 (Salary is commensurate with experience and credentials)

Essential Duties and Responsibilities:

  • Utilize multiline phone system to answer Senior Management and Staff Attorney Phone calls, take messages and route calls as necessary.
  • Accurately type and proofread, print, save and import memos, letters and other documents while maintaining the highest degree of confidentiality on designated legal matters.
  • Develop, maintain, and organize various Word; Excel; PowerPoint documents independently, sometimes with minimal direction.
  • Handle requests from attorneys and management in a timely manner and with a high degree of accuracy.
  • Manage the calendars of the Staff Attorneys and Senior Management including scheduling meetings including over various conferencing platforms (WebEx, Teams); setting up conference calls; reserving conference rooms and arranging necessary media assistance and technology where applicable.
  • Assist attorneys and Senior Management with confidential matters, which may include assistance in preparation of performance evaluations, maintenance of records, logs and files, processing expense reports, purchase requests and perform other recordkeeping duties as required.
  • Serve as liaison for outside vendor communications and for intra and interdepartmental communications and attorney assignments, monitoring deadlines and transmitting responses.
  • During times of high call volume, receive incoming first notice of loss report calls.

Requirements:

  • Prior executive level administrative experience.
  • High School diploma or GED Equivalent.
  • Experience supporting higher level leaders is strongly preferred.
  • Strong proficiency with Microsoft Office (Word, Outlook, Excel, and PowerPoint) and Internet based applications.
  • Above average proficiency in typing, proofreading, and grammar.
  • Ability to work with a high degree of accuracy and strong attention to detail in all tasks.
  • Excellent communications skills (verbal, written and active listening).
  • Ability to multi-task and handle interruptions, able to regain focus on task at hand.
  • Ability to collaborate with other co-workers and work in a team environment.
  • Strong organizational, problem-solving skills and willingness to take initiative to complete tasks.
  • Exceptional interpersonal skills.
