SALARY: $22.41 Hourly (NEGOTIABLE)
(Employees will receive 5% below the negotiated pay rate during their probationary status)

POSITION SUMMARY
This position is responsible for office management and administrative support to the Recreation Department. This position also will implement membership strategies that will promote recruitment of new members and retention of existing members. Works weekends and nights as needed/required. Work schedule is 1:00 pm to 9:00 pm. Maintain confidentiality of all privileged information.

DUTIES AND RESPONSIBILITIES:
1. Answer and screen telephone calls, takes messages and greets visitors and directs them to the appropriate office with courtesy and respect.
2. Maintain Recreation Director's calendar, coordinate meetings, conference calls and appointments.
3. Compose letters and memos to the public and Tribal Departments for information and general inquiries.
4. Coordinate and process accounting records, which include appropriation requests, travel requests, invoices and vouchers, keep accurate up-to-date accounting records and files.
5. Assist Recreation Management in the fiscal management process involving developing and monitoring program budgets, review monthly financial statements and monitor program expenditures.
6. Assist in the development, implementation, evaluation, and review of Recreation processes, policies and procedures in accordance to Tribal systems.
7. Enter membership applications and all other information required into database in accurate and timely manner.
8. Develop monthly membership reports and statistical reports as needed/required.
9. Identify and resolve issues to ensure members satisfaction.
10. Assist the Recreation Director and Supervisors on Governmental Services directives, assignments and projects.
11. Assist recreation staff and coordinate backup help as needed.
12. Maintain inventory of office and membership supplies as needed/required.
13. Coordinate, monitor and follow up on assignments, requests and directives to Tribal departments as needed/required.
14. Develop membership marketing materials.
15. Operate personal computers and general software programs.
16. Schedule and prepare meeting agendas, attend meetings, take/transcribe minutes, distribute to staff in a timely manner for department.
17. Manage program registration including logistics to support phone, walk-in and online registrations.
18. Adhere to all Tribal Personnel Policies and Procedures, Tribal Standard Operating Procedures, and Area and Program Strategic Plans and Policies.
19. Maintain strict department security, confidentiality, and quality to meet professional standards of the department.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
1. Occasionally bend/stoop, squat, lift, push/pull, reach above shoulder level, carry up to twenty-five (25) pounds, and lift up to twenty (20) pounds.
2. Repetitive movements of both hands due to extensive daily data entry and email communications.
3. Work is generally performed in an office setting with a moderate noise level. This position may be required to work nights and weekends.
4. Work environment is NOT noise or dust free.
5. A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.


STANDARD QUALIFICATIONS:
1. Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.
2. Knowledge of records management and accounting procedures to include budgeting.
3. Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels, and other departments.
4. Ability to represent the organization in a professional manner, building respect and confidence.

11. Ability and willingness to work a flexible schedule to include nights, weekends and holidays.
12. Ability to understand and follow oral and written instruction.
13. Ability to prepare and maintain work orders.
14. Ability to develop and maintain an accurate up-to-date filing system.
15. Ability to effectively work with youth, families and the community involved in the recreation program is required.
16. Must be willing and able to obtain additional education and training.
17. Complete Oneida Certification on Reporting Child Abuse and Neglect training within ninety (90) days of employment.
18. Must adhere to strict confidentiality in all matters.
19. Must pass a pre-employment drug screening. Must adhere to the Tribe's Drug and Alcohol-Free Workplace Policy during the course of employment.
20. Must pass a background security check with the Oneida Nation in order to meet the Employment Eligibility Requirements.
21. A valid driver's license or occupational driver's license, reliable transportation and insurance is required. Must obtain a Wisconsin driver's license or occupational driver's license within thirty (30) days of employment if applicant has an out-of-state driver's license. Must be authorized as eligible to operate a Personal and Tribal vehicle under the Oneida Nation's Vehicle Driver Certification and Fleet Management Law prior to actual start date. Must maintain driver's eligibility as a condition of employment.

PREFERRED QUALIFICATIONS:

1. Associate Degree.
2. One (1) year of lead or supervisory experience.

MINIMUM QUALIFICATIONS:

1. High School Diploma, HSED Diploma or GED Certification; applicants age fifty (50) and older are exempt from this requirement.
2. Two (2) years of administrative experience, an equivalent combination of education and experience may be considered.
