Job Summary
Assigns nursing resources and makes adjustments to assignments as required to meet staffing needs of nursing units. Assists with preparation of assignment schedules for SST nursing resources. Communicates with Nursing Units and SST staff regarding assignments. Assists with Time and Attendance reporting for SST employees and other general office duties.Accountabilities
- Forecasts daily staffing requirements using variable staffing plans. Adjusts staffing assignments on a daily basis as directed by SST Nurse Manager, Administrative Coordinator or SST Coordinator. Updates staffing plan continuously throughout the shift, utilizing both SST and agency personnel to flex staffing to meet forecast requirements. Notifies nursing units and SST resources of changes to assignments (calling staff in and calling staff off based on census and acuity needs). - 30%
- Greets all customers to the Staffing Office, answers telephone, routes calls as appropriate, takes messages and responds to general inquiries concerning daily operation of the Staffing Office. - 25%
- Assigns clinical and non-clinical patient observers to sit with patient requiring 24 hour observation.Generate cumulative sitter hours used per pay period. Verify system-wide sitter hours as accurate in Kronos. - 10%
- Gathers and posts data to various records, forms and data bases. Assists in the development and maintenance of departmental reports. Reports include but not limited to: core staff reassignment float log, monthly/weekly unfilled needs report, staffing board report, projected weekly staff report and daily available staffing report sheet. - 10%
- Performs clerical duties in support of specific department functions such as typing memos and reports, ordering office supplies, filing, etc. Coordinates and prepares documentation for evaluations. - 10%
- Receives and records hospital wide call-ins for RNs, Support Staff and Unit Secretaries. Prepares daily system wide call-in log and weekly and monthly call-in reports. - 5%
- Assists the SST Coordinator with Time and Attendance and Kronos reporting for the SST employees as needed. - 5%
- Opens and routes incoming mail within staffing office and to SST employees - 5%
Supervisory/Management Responsibilities
This is a non-management job that will report to a supervisor, director or executive.
Minimum Requirements
High School diploma or equivalent
One (1) year Secretarial experience, preferably in health care setting
