Project Summary:

MSI is implementing the Philippines, Pacific Islands and Mongolia Monitoring, Evaluation and Learning Activity (PIMMELA) in the Philippines and across its geographic area of coverage, which includes 12 Pacific Island countries and Mongolia. PIMMELA will provide monitoring, evaluation, and learning (MEL) support services to USAID Mission in the Philippines and across its geographic area of coverage. PIMMELA will work collaboratively with the Mission's staff and its implementing partners (IPs) to provide assistance in performance management; third party monitoring and verification; evaluation services; collaboration, learning and adapting; and monitoring and evaluation of the health portfolio.

Position Summary:

The Office Assistant will provide essential support in administrative tasks to ensure the smooth functioning of the office environment. The Officer Assistant will be reporting directly to the Financial and Administration (F&A) Director and will undertake various responsibilities to facilitate efficient operations and contribute to the overall effectiveness of the office.

 

Responsibilities:

  • Assist with day-to-day administrative tasks in the office.
  • Maintain office cleanliness and organization.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Manage external correspondence as needed.
  • Assist in maintaining office supplies inventory by checking stock levels, placing orders, and ensuring adequate availability of essential items.
  • Support the F&A team in organizing and maintaining documentation, records, and files in accordance with established procedure.
  • Help set up meeting rooms and arrange equipment for events.
  • Collaborate with team members to provide administrative support.
  • Work closely with other members of the F&A team to provide support and assistance as needed, contributing to a collaborative and cohesive working environment.
  • Assist in coordinating schedules and appointments, making travel arrangements, and organizing logistics for meetings or events as required.
  • Perform other duties as assigned.

 

Qualifications:

  • High school diploma required.
  • Minimum three years of experience in a similar role required.
  • Understanding of office procedures and equipment required.
  • Good communication and interpersonal skills required.
  • Strong organizational skills and attention to detail preferred.
  • Ability to prioritize tasks and manage time effectively required.
  • Proficiency in using office software such as Microsoft Office Suite including Word, Excel, and Outlook required.
  • Professional English capability required, both written and verbal required.
