The Brokerage Coordinator position will be responsible for providing administrative, marketing, and research support to a dedicated two-person brokerage team consisting of two Managers on the Tenant Advisory Team Overarching responsibilities include performing all aspects of supporting the team with marketing coordination, research, and assisting with transaction processing, while supporting the team through direct and indirect administrative support. To note, this position retains latitude in formulation and implementation of new procedures and processes within the Brokerage group as a whole that are consistent with the company's objectives.

It is also the responsibility of the dedicated Brokerage Coordinator not only to exhibit legendary support to their direct team, but also professional customer service when communicating with clients, owners, vendors, and fellow team members but also to focus on productivity and results.

This is a full-time, in-office position.

ESSENTIAL JOB FUNCTIONS:

  • Assist the dedicated team with scheduling appointments and maintaining team member's calendars.

  • Help to prepare when tasked with the kicking off and preparation of proposals, and presentation decks (pitch decks) with the use of templated libraries.

  • Help to respond to specifically instructed internal and external client requests for timely responses to requests and information.

  • Help to review internal and external collateral materials, proofread content, ensure appropriate branding, and approve materials for final distribution.

  • Help to support the timeliness of all deliverables and tasks.

  • Help to provide lease reviews, abstracts and basic financial analysis using assigned software application where applicable and assigned on an as-needed basis

  • Help to prepare and/or proofread correspondence on behalf of dedicated team including but not limited to letters, leases, lease abstracts, letters of intents, requests for proposal, marketing brochures, space flyers, analysis, company overviews, market reports, project overviews, and CoStar.

  • Help to coordinate projects from primary stages of curation of ideas through completion.

  • Coordinate the handling of the team's requests for data and research information.

  • Assist the team with the completion of market surveys, property/space comparisons, data analysis, company overviews and other deliverables as assigned.

  • Assist with the curation with help from the Marketing Team of new and exciting deliverables for RFP's, presentations, targeted client and prospect distribution.

  • Assist team any XRM tasks which include but are not limited to inputting new groups, assignment of ownership on behalf of the team, general edits, on an as-needed basis.

  • Complete travel arrangements for team members.

  • Complete expense reports on behalf of the team,

  • Coordinate occasional broker/client events, conference room scheduling, set up and breakdown when necessary.

  • Maintain professional, positive, and proactive performance at all times.

  • Other duties and assignments as requested.

POSITION REQUIREMENTS:

  • A bachelor's degree in business, economics, real estate, or related field preferred.

  • A minimum of 2-4 years of administrative experience in commercial real estate.

  • Real Estate Salesperson license preferred or willing to obtain.

  • Proficiency with Microsoft Suite (including Outlook and Teams), Zoom, CRM/Database Management, and Adobe Acrobat..

  • Familiarity with CoStar, VTS, and Zoom is helpful.

  • Excellent writing skills to prepare complete and accurate reporting.

  • Excellent oral communication skills to represent the company and maintain the team's and Company's image.

  • Strong organizational skills, creativity, and interpersonal skills.

  • Ability to analyze qualitative and quantitative information and translate into strategic deliverables.

  • Strong attention to detail - excellent proofreading and editing skills.

  • Must be able to work independently and with minimal supervision.

  • Resourceful approach to effectively managing workloads to meet deadlines, while delivering high-quality work in a fast-paced environment.

  • Ability to maintain discretion regarding personnel and industry-related matters.

  • A strong work ethic and sense of responsibility, reliability, responsiveness and customer service.
