Summary of Job Duties: *This position is located in Springdale, AR*

The Administrative Specialist III position is in a specialized program providing the Project for Adolescent and Child Evaluations (PACE) multidisciplinary assessments to children/youths age birth to 21 years. The successful applicant will work with a team of physicians, advanced practice nurses, psychological examiners and speech/language pathologists in sites statewide inputting data, assisting contract staff in completing required forms and arranging transportation for clinical teams. In addition, the applicant will provide administrative support in the Springdale based office.
Qualifications:
  • High School diploma/GED plus three (3) years of administrative experience required.

  • Must have a valid Arkansas driver's license.

Knowledge, Skills & Abilities:

  • Basic understanding of office equipment.

  • Microsoft Office Suite(Computer, Copier/Scan/Fax, Word, Excel).


Additional Information:

Responsibilities:

  • Performs patient registration at clinical sites.

  • Completes appointment documentation including billing information.

  • Assists physicians/APRNs in computer connectivity and with other needs in clinic as requested.

  • Coordinates patient flow among clinical staff.

  • Adheres to HIPPA standards.

  • Inputs data in computer as requested.

  • Initiates clinical reports for clinicians.

  • Provides scoring assistance during clinics utilizing computer software; completes and distributes patient documents to clinical staff.

  • Arranges/provides department van transportation according to schedule. 

  • Prepares and ensures van maintenance. 

  • Adheres to timeliness of clinic schedule. 

  • Works with other staff to insure coverage of clinics.

  • Prepares paperwork/equipment for clinic including scanning/indexing of medical records.

  • Assures supplies are available for clinics.

  • Ensures billing/documentation forms are completed.

  • Distributes documentation forms as instructed.

  • Provides support of on-site operations including phone back up when requested.

  • Scans records/protocols in EHR.

  • Aids in requesting records when instructed. 

  • Performs other duties as assigned.
