Summary of Job Duties: The Kid First Program Intake Coordinator performs a variety of functions related to establishing and maintaining eligibility for patients enrolled in the Kids First program including but not limited to: patient registration, appointment scheduling, gathering outside records, communicating with referral sources and the clinical team. The Intake Coordinator shall be able to assume the functions of every member of the front desk team, to be knowledgeable of insurance processes such as verification of eligibility and benefits and able to collect documents for the medical record as necessary.
Qualifications:
  •  BS + 2 years administrative or program coordination experience or AS PLUS four (4) years administrative or program coordination experience or HS + 6 years administrative or program coordination experience.

Knowledge, Skills & Abilities

  • Advanced Computer Skills
  • Intermediate proficiency in MS Office (Word, Excel and Outlook)
  • Must be proficient in the use of office machines including printers, faxes, computers, and telephone.


Additional Information:

Responsibilities:

  • Maintains a friendly and approachable demeanor to patients and families throughout the duration of the intake and enrollment process; assisting with questions and concerns and setting expectations for clinic visits during intake.
  • Performs all functions related to preparing and scheduling intake appointments, such as verifying demographic information, collecting outside records, taking patient photographs, obtaining required signatures for evaluation and treatment; scheduling screening appointments; communicating and obtaining necessary referrals from primary care physicians, notifying clinicians of screening results and when patient registration is complete; canceling, scheduling, and rescheduling patients.
  • Keeps up to date records on all individuals in the intake process.
  • Schedules follow up evaluations or outside referrals as indicated by the clinical team.
  • Maintains quarterly contact with referral sources and participates in public relations events.
  • Administers standardized and criterion referenced developmental assessment tools, scores, and interprets results to determine program eligibility.
