Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $47,500 - $80,300.  The budgeted salary range that the University reasonably expects to pay for this position is $50,000 - $63,900/yr.

About the Job

Uses professional concepts to assist staff in the execution and administration of complex team, group and individual travel for the Recreation & Athletics department. Serves as the department expert on campus travel and entertainment policies as they impact team/group travel, recruiting travel and athletic special events. Develops process to ensure compliance with campus policies and procedures to resolve a variety of athletics department issues. Works under minimal guidance on assigned tasks during the year. Works on issues where analysis of situations or information requires a review of a variety of factors.

KEY RESPONSIBILITIES

  • Athletic Travel Administration: Under general supervision, is responsible for independently arranging all team and group travel (air, ground, lodging) for a dynamic and growing Recreation & Athletics department. Works with coaches to arrange and confirm travel for all athletic team events and athletic recruiting travel. Works directly with travel agencies to book airfare and other travel services. Works directly with hotels to negotiate rates for sleeping rooms for team travel. Ensures compliance with UC Merced policies for group travel and entertainment. Provides travel support for UC Merced Club Sports teams for team related travel. Manages the Event credit card program for the department in support of Club Sports and OEP activities.
  • Athletic Travel Card Processing: Responsible for first line review of all athletic travel card transactions for the department. Works with coaches and other administrative staff to ensure all travel transactions are recorded appropriately in Concur and are submitted on time. Ensures correct Chart of Account segments are used for all transactions. Ensures compliance with departmental team travel rules, UC Merced, UCOP and NAIA policies related to travel and entertainment for athletics.
  • Procurement: Manages all non-catalog purchases for the department. Provides support to staff in the use of Oracle catalog for common purchases. Manages complex procurement for equipment and supplies within the Oracle Procurement system. Serves as a liaison with Procurement for purchasing issues for the department. Serves as the primary expert in Procurement rules, policies and processes for the department
  • Departmental Cashiering: Processes weekly deposits from the Recreation & Athletics Point of Sale System from Recreation programs, Athletic events and retail sales. Ensures all sales are recorded into the proper accounts and works with operations and events management to resolve cashiering errors. Primary staff member responsible for creating department deposit two times per week. Works with campus cashiers to ensure Cashnet and credit card transactions are properly recorded. Processes refunds for in person credit card transactions.
  • Departmental Fleet Management: Oversees reservations for all departmental fleet vehicles. Responsible for monthly reporting to campus Fleet Services for all departmental fleet vehicles. Responsible for processing all recharges related to departmental fleet vehicle rental. Responsible for coordinating maintenance and repairs of fleet vehicles, carts and equipment with campus Fleet Services.

Qualifications

EDUCATION and REQUIREMENTS

  • Bachelor's degree in business, accounting, or other related field from an accredited institution.
  • Minimum of 3 yrs of related experience.
  • Driver's License.

CRITICAL KNOWLEDGE AND SKILLS

  • Minimum of 2 years of experience working with arranging group travel in a high volume work setting. This includes airfare, lodging and ground transportation. (Preferred)
  • Problem-solving skills; work with frequent interruptions, and effective listener.
  • Effective verbal and written communication skills in the English language.
  • Must be proficient in the use of basic computer applications such as MS Excel, MS Word and web based accounting systems.
  • Must possess excellent customer services skills and be able to interact effectively with students, staff, faculty, administrator and the public.
  • Must possess excellent organization skills, be detail oriented and have the ability to prioritize work and complete assignments independently as well as work in a team environment.
  • Experience working with purchasing, accounting and travel preferred.
