DEPARTMENT OVERVIEW

Real Estate and Contracts Services, an operational unit of Financial Affairs, manages all real property transactions and contract services for the campus. Employee housing is now integrated into RECS, which includes all of the for sale and for rent portfolio (over 200 units), loan program assistance, management of campus housing associations, capital projects, capital projects, and associated strategic development initiatives. As of February 14, 2024, the childcare placement/referral program was placed within Employee Housing. For real estate, this includes all acquisitions and divestitures, ground leasing, leases, licenses, and easements for the more than 2,000 acre main campus as well as direct oversight for a diverse off-campus multi-site real estate portfolio of more than 550 acres. For contract services, this includes providing transactional and legal expertise to advocate for the best interest of the University by negotiating, drafting and facilitating the execution of a wide variety of highly complex business contracts with third party entities. The department also provides oversight for all aspect of contract administration, ensures policy compliance and advises on risk and applicable law and policy for specialized agreements in accordance with the recommendations of Risk Management and Campus Counsel.

JOB SUMMARY

The Childcare placement/referral program coordinator is responsible for developing, implementing, and managing childcare waitlist services and programs to support faculty, and staff working on campus. This role involves collaborating with various high-quality childcare services that align with the institution's mission and values. The position will be primarily working on contract compliance and operational duties of managing the waitlist and program needs as well as accounting and operational support associated with the program.

 

APPOINTMENT INFORMATION

Budgeted Salary: $35.11/hour.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

50% - Contracts and Financial

  • Prepare and execute contracts and agreements with childcare entities in accordance with campus policy and guidelines; clearly outline the services to be provided, negotiate the rates for services, follow established policies and procedures, and ensure the contract complies with local regulations, laws and campus policy. Carefully review contracts to ensure that all terms and conditions are clearly understood and agreed upon.
  • Serve as a liaison with external partners, providers, agencies, and community organizations to establish partnerships and resources.
  • Manage budget allocations including monitoring expenditures, preparing financial reports, and seeking funding opportunities to enhance childcare offerings.
  • Maintain accurate records and databases related to financial transactions, and program effectiveness for reporting purposes.
  • Stay informed about relevant laws, regulations, and best practices in childcare and family support services to ensure compliance and continuous improvement.

40% - Waitlist and Enrollment coordination
 

  • Maintain and update the childcare center's waitlist, including adding new families, and removing families who are no longer interested.
  • Develop and implement childcare hold policies, procedures, and guidelines in accordance with institutional standards and relevant regulations.
  • Coordinate the operation of on-campus childcare waitlists, including managing enrollment as needed
  • Maintain accurate records and databases related to childcare enrollment
  • Serve as the primary point of contact for families on the waitlist, responding to inquiries about availability, enrollment procedures, and waitlist status in a timely and professional manner.
  • Assist in coordinating the enrollment process for families when spots become available
  • Understand and apply the childcare center's priority criteria for enrollment
  • Generate regular reports on the status of the waitlist, including the number of families on the list, average wait times, and any trends or patterns observed.
  • Work closely with administrators, faculty, staff, and enrollment coordinators, to ensure a smooth transition for families from the waitlist to enrollment.
  • Provide excellent customer service to families on the waitlist, addressing any concerns or questions they may have and ensuring they feel supported throughout the enrollment process.


10% - Administrative support
 

  • Collaborate with campus diversity and inclusion initiatives to promote accessibility and equity in childcare services for all members of the higher education community
  • Collaborate with campus departments, faculty, and staff to assess childcare needs and develop programs and resources to support families within the higher education community.
  • Provide support and guidance to parents regarding childcare options and navigating childcare resources both on and off-campus


REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience and / or training
  • Working knowledge of internal departmental / unit operating policies, applicable state and federal regulations and general contract terms.

PREFERRED QUALIFICATIONS

  • Experience working in childcare administration, preferably in a higher education setting
  • Knowledge of childcare regulations, licensing standards, and best practices in early childhood education.
     

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Must possess a valid license to drive in the state of California.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
