Departmental Overview

UC Berkeley in partnership with QB3 operates Bakar Labs, the flagship life science incubator on the UC Berkeley campus. Bakar Labs is a vibrant and well-equipped incubator providing lab and office space that hosts a thriving community of up to 40 startup companies developing products in therapeutics, diagnostics, research tools, agriculture and food industries. The incubator spans more than 40,000 square feet of lab and office spaces within the fully renovated Woo Hon Fai Hall. Bakar Labs also supports the growth of its community of entrepreneurs by integrating UC Berkeley capabilities, leveraging QB3 expertise, and providing beneficial connections to other life science ecosystem resources. Bakar Labs is part of the Bakar BioEnginuity Hub a campus-wide initiative whose mission is to stimulate entrepreneurship that improves human health or sustainability, enabled by innovations in engineering, physical sciences, computer science and biology.

Responsibilities

GENERAL OFFICE AND FRONT DESK MANAGEMENT:

  • Greet, direct, and provide information to visitors, employees, managers, and others regarding Bakar Labs in a professional manner via phone, in  person, and online.
  • Provide guests with guest badges and notify the host that their guest has arrived.
  • Ensure meeting spaces are ready to support planned events.
  • Independently respond to inquiries in a timely manner and confidentially maintain all information.
  • Maintain tenant information database.
  • Create, deliver, and reclaim key cards as directed.
  • Provide, place, and remove signage for leased spaces (offices, labs, equipment) events, seminars, tours, etc.
  • Assist tenants in first level troubleshooting on office related issues (WiFi, printing, keycard/access)
  • Support the efficient functioning of the entire office.
  • Use judgement in escalating issues to appropriate person.
     

AUDIO VISUAL SPECIALIST:

  • For high-profile events or as directed, provide support in set up of all audio visual needs (e.g. mics, projector presentations, webinar recording equipment, cameras, PA system setup, etc)
     

EVENT MANAGEMENT:

  • Assist in setting up seminars and events.
  • Assist in creating flyers, social media, or web announcements to advertise events

KITCHEN AND FACILITY'S CLEANLINESS:

  • Clean up and restock supplies and snacks for kitchen areas.
  • Maintain general cleanliness and appearance of office spaces
     

MAIL MANAGEMENT:

  • Organize the received packages by company and notifying companies when they have temperature sensitive packages.
  • File received letters 
  • Notify tenants of package deliveries and deliver as appropriate.

Required Qualifications
  • Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications
  • Thorough knowledge in audio visual technologies setup and troubleshooting including projector setup, microphone setup, presentation screen sharing, recording/webinar equipment, audio 
    playback, etc.)
  • Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
  • Experience with electronic calendaring to provide scheduling support.
  • Experience working with diverse constituencies.
  • Ability to maintain confidentiality
  • Intermediate knowledge of PC applications and software (MS Office—Word, Excel, PowerPoint; G-Suite, Gmail, Google Doc, Google Sheet, Google Calendar, Box, Slack, etc.)
  • Ability to prioritize and deal with last minute urgent requests.
  • Ability to directly resolve problems through informal consultations and discussions minimizing escalation.
  • Ability to determine when issues/problems need to be brought to the attention of higher-level staff and/or management.
  • Ability to work independently and as part of a team.
  • Must be able to lift 15-20 pounds.
  • Experience with or ability to quickly learn UC systems: UCPath, BearBuy, ServiceNow.
  • Ability to learn and understand, interpret, and apply University rules, regulations, and policies.
  • High school diploma or equivalent experience

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. 

The budgeted hourly range that the University reasonably expects to pay for this position is $22.32 - $26.93

  • This is a 100% full-time (40 hours per week), career position that is eligible for full UC benefits.
  • This position is non-exempt and paid bi-weekly.
  • This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
