Dept Marketing Statement

The Department of Linguistics at UC Santa Cruz is known for marrying careful, detailed empirical examination of particular languages with rigorous theoretical analysis to advance the understanding of human linguistic ability. The department has strengths in morphology, phonetics, phonology, pragmatics, psycholinguistics, semantics, and syntax, training its students in a range of computational, experimental, and fieldwork methodologies. It offers two undergraduate majors, in linguistics and language studies, as well as graduate programs (MA and PhD) in theoretical and experimental linguistics, preparing students for careers in research, teaching, and industry.

The Department is a mid-size department with 13 ladder rank faculty. Academic programs range in size: between 110 to 135 declared undergraduate majors each year, and a doctoral program that has grown to 24 students. The Department annual budget is approximately $1.5 million.

Within the Division, Linguistics is the only department with lab based research activity and grant funding from NEH, NSF, and other foundations. The management of faculty labs and the grant funding adds complexity to the oversight of the department.  For more information, visit: 

Job Summary

Involves managing or performing the administrative services or managing the full general operations of an academic or non-academic organization(s). Administrative services includes activities in finance and human resources and may also include IT, facilities, or student services. General management includes long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management staff.

The Linguistics Department Manager manages, plans, administers, and coordinates the administrative operations of a mid-sized academic department and an interdepartmental program, the operations of which are significantly complex and / or broad in scope. Reporting to the Linguistics Department Chair, the incumbent directly supports Linguistics' short and long-term planning, curriculum management, department finances, academic human resource processes, graduate and undergraduate academic programs, and space coordination, and oversees support for the undergraduate and graduate program. The Department Manager supervises support and professional staff. The Department Manager regularly works on highly complex issues related to human resources, curriculum, and budgetary policy where analysis of situations or data requires an in-depth evaluation of variable factors due to the complexity of mounting curricula supported by faculty across campus.

Job Duties

80% - Manages, plans, and administers a full range of administrative operations in a small to medium academic department where operations are significantly complex in terms of budgetary funding, number of faculty, staff and students, and are broad in scope due to focus of operations.

Provides leadership for all business and support functions of the Linguistics Department with full administrative and financial responsibility. Collaborates with department chair and faculty to develop and implement goals and objectives (short- and long-range and academic plans. Researches, interprets, and advises on campus and University policies, Academic Senate regulations, department by-laws, and protocols and procedures (relating to fiscal and budgetary matters, procurement, personnel management, facilities management, environmental health and safety issues, etc. to inform practices and policies. Oversees general support provided by other staff members. Maintains appropriate records and coordinate the implementation and dissemination of decisions and directives. Oversees adherence to appropriate document management and retention practices. Supports department chair and coordinates with division on external reviews.

Coordinates and oversees the dissemination of department information for distribution across mediums, including digital and web-based applications. Communicates the vision and goals of the department both internally and externally. Oversees, develops, and updates all outreach efforts for the department, special events, development campaigns, advising activities, and departmental publicity.

Advises department chair of operational needs and requirements and recommend changes to departmental policies, practices, and protocols when necessary. Oversees staff support of policies, practices, and protocols.

Manages departmentally administered space, equipment, and facilities in consultation with department chair. Recommends, prepares justifications, and negotiates with unit members and division as needed. Coordinates move logistics, oversees space access and space security needs for faculty and graduate students.

ACADEMIC HUMAN RESOURCES:  Analyzes, interprets, and advises faculty on academic personnel policy and procedures. Manages faculty workload equity, sabbatical accruals, and course release agreements. Oversees academic recruitments and personnel action processing, including requests for visas and permanent resident status for non-citizens. Coordinates and processes the academic appointments in Linguistics for graduate students. Ensures departmental compliance with policies and procedures per academic personnel policies and the Academic Student Employee (ASE) labor contract.

BUDGET AND FINANCE:  Manages Linguistics department's financial affairs and accounts with delegated authority. Oversees the management of budgets, fiscal closing, purchasing, equipment inventory, accounting records, payroll expenditures, transfers of expenses, and gift funds. Establishes and/or maintains procedures in accordance with divisional, campus, university, state and private funding requirements. Develops budgets and spending plans, analyzing and interpreting financial data to determine current and future budgetary needs, necessary adjustments, and fund controls. Advises department chair on options for long- and short-range contingency planning.

GRADUATE PROGRAM:  In consultation with the graduate program director and department chair, oversees all aspects of the Linguistics Department's graduate program, including admissions, student advising, and student funding support. 

CURRICULUM:  Oversees administration of the curriculum, including curriculum planning, administration, and execution; catalog copy and course approvals. Oversees undergraduate student advising and counseling provided by other staff members.

15% - Supervises support and professional staff within the scope of main business activities. Coordinates and participates in a variety of human resource activities including employment, training, classification, and ensuring the completion of forms and documents related to HR and Payroll. Responsible for the management of, adherence to, and interpretation of policy, union contracts, and procedures for staff personnel functions for the department. Assure consistency in all personnel actions within the department by establishing and maintaining effective procedures and systems, and by providing advice, and support for unit leadership. Identify and develop effective resolutions
to personnel problems.

5% - Represents the department on business issues to the institution community and serves on committees. Serves as primary liaison to Humanities division, central administration, other campus units, and off-campus organizations. Collaborates with Graduate Division, Humanities, and other campus units (International Student Services, Financial Aid, etc) to provide data and information as requested.

Required Qualifications
  • Bachelor's degree in related area and / or equivalent experience / training.
  •  Advanced knowledge of common processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.  
  • Advanced written communication skills.
  • Advanced interpersonal skills including verbal communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Advanced knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Ability to use discretion and maintain confidentiality.
  • Advanced skills in short- and long-term strategic planning, analysis, problem-solving and customer service.
  • Advanced knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.

Preferred Qualifications
  • Advanced knowledge of university rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
  • Advanced knowledge of common university-specific computer application programs.
