Minimum Education and Experience

Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.



Preferred Education and Experience

  • Strong oral, written and interpersonal communication skills
  • Detail-oriented, strong computer skills and bookkeeping/accounting experience
  • Demonstrated competency in Microsoft Office
  • Self-starter and strong customer service skills
  • Experience in higher education


Essential Duties and Responsibilities

Reporting to the Director of the University Career Center, the Administrative Assistant II helps the UCC team stay abreast of departmental and university procedures and creates new processes to ensure the department operates smoothly. The Administrative Assistant provides administrative support to the Director including maintaining financial records, processing administrative forms, assisting with asset and supply management, and completing bank deposits and monthly financial reconciliations.

The Administrative Assistant's responsibilities include the following:
  • Keeps team abreast of departmental and university procedures and creates new processes to ensure the department operates smoothly
  • Maintains all departmental financial and personnel records within university deadlines and guidelines
  • Processes all paper and electronic HRS, purchasing, physical plant, and other administrative forms
  • Makes bank deposits, prepares invoices, and assists with accounts receivables as needed, completes monthly financial reconciliations, and processes monthly and semi-monthly payrolls
  • Maintains office supply, asset, and giveaway inventories and assists with troubleshooting of office equipment
  • Provide training and facilitate meetings with the University Career Center Administrative staff
  • Takes and prepares minutes of University Career Center staff and Director meetings as needed
  • Coordinates travel arrangements and completes travel forms for the Director and other staff members as needed
  • Serves as backup for front desk coverage as needed
  • Other duties as assigned
  • Office hours are Monday – Friday 8 a.m. – 5 p.m. with a one-hour lunch


Additional Information

After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
