Description

The Administrative Assistant II provides a wide range of administrative support to Student Life Programs, consisting of SUAAB/Meteor Theater and Gaming & Esports. In addition, the Administrative Assistant II will provide reception support, assistance with program area purchases and fiscal tracking and reconciliations, and assistance with day-to-day support of these programmatic areas.

Minimum Education and Experience

Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.



Preferred Education and Experience

Administrative experience in higher education. The desired employee is detail-oriented, has excellent customer service skills, able to prioritize and complete tasks quickly to meet deadlines and work collaboratively and independently. Experienced in PeopleSoft, eProcurement, Microsoft (Excel, Word, PowerPoint, Outlook, Teams), and Adobe.

Essential Duties and Responsibilities

  • Possess strong interpersonal communication skills as well as strong multi-tasking skills
  • Demonstrate ability to work as a team member
  • Knowledge and understanding of university policies and procedures and campus resources
  • Support Program area staff as needed including event support
  • Assist with SERA forms for special events
  • Assist staff with planning and executing Gaming & Esports Summer Camp
  • Complete the meeting minutes at staff meetings
  • Assists with Front Desk support: Greet guests; assist callers; move guests from reception area to assigned staff
  • May be responsible for supervising student employees and providing administrative support in program areas
  • Handles purchase orders, accounts payable, budget tracking, and reconciliations of cost centers
  • Ensure that special event needs are completed by desired dates; follow up with event coordinators as necessary
  • Scanning student files as needed


Additional Information

Remote Notice:
After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
