Description

The UT Dallas Office of Technology Commercialization (OTC) is seeking a qualified candidate to fill an operations role to perform a broad spectrum of tasks related to the management and processing of Industry Sponsored Research. Major responsibilities include but are not limited to: negotiate/review OTC agreements for accuracy, completeness, risk exposure, and compliance with University/System policy and guidelines, as well as Texas law; assembling and maintaining institutional documentation; data entry; acting as a liaison for UT Dallas to sponsors, faculty, and staff throughout the campus; ensuring research compliance issues are addressed; maintain tracking of relevant performance metrics; prepare reports/summaries/analyses on contract activity as requested; utilize various office systems/databases to maintain accurate records; and ad hoc projects as determined by leadership. All incumbents will remain current on issues in the field of research administration and attend training for professional development.

Minimum Education and Experience

Bachelor's degree in business or related; Zero to three years experience in the preparation and processing of research grant and/or contract proposals and their administration.

Preferred Education and Experience

The ideal candidate will have at least 2-3 years of prior support experience in research administration and/or higher education.

  • Experience negotiating/reviewing contracts for accuracy, completeness, risk exposure, and compliance with policies and guidelines.
  • Effective writing skills (including excellent proofreading, spelling, grammar, and punctuation).
  • Extreme attention to detail and exceptional organizational skills.
  • Demonstrated ability to work under pressure and to meet inflexible deadlines on your own initiative.
  • Excellent verbal communication skills.
  • Excellent interpersonal and communication skills, especially in constructing email communications with internal and external stakeholders.
  • Proficient computer skills including the Microsoft Office Suite.
  • Strong decision-making skills; ability to independently analyze and resolve complex problems via examination of established protocols.
  • Ability to learn new skills, synthesize and apply knowledge from many disciplines.
  • Ability to maintain confidentiality and exercise appropriate discretion with information.
  • Demonstrated ability to work within a community and maintain effective working relationships at all levels in the organization.
  • Demonstrated ability to make decisions in the best interest of the university as a whole.
  • Preferably, the candidate will have experience with PeopleSoft or a similar management system.


Essential Duties and Responsibilities

Develop a thorough understanding of OTC's industry contracts processes, policies, and management systems sufficient to navigate and perform all operations as required by OTC.
  • This position will work with senior members of The Office of Technology Commercialization (OTC) to collect internal forms needed for compliance with University regulations, policies, and procedures.
  • Under the direction of the Senior Industry Contracts Specialist (SICS), will enter and maintain information in relevant databases (e.g.: Minuet, PeopleSoft, OAR Portal).
  • Under the supervision of SICS, negotiate/review OTC agreements for accuracy, completeness, risk exposure, and compliance University/System policy and guidelines, as well as Texas law.
  • Under the supervision of SICS, work with faculty to develop statements of work and routine budgets for industry-funded sponsored research agreements.
  • Work with the Office of Sponsored Projects, Office of Post-Award Management, Office of Research Compliance, and others within the Office of Technology Commercialization as needed to manage the internal review and approval processes.
  • This position will assist and advise internal and external stakeholders of the status of ongoing negotiations.
  • This position will review the payment status of ongoing projects and will assist internal and external stakeholders in correcting delinquent payments.
  • Promptly respond to, and resolve in a timely manner, inquiries and requests for reports, information, or assistance.
  • Complete special projects and administrative tasks as assigned.
  • Be cross-trained with the Data Management Specialist and serve as a backup to the same. The Data Management Specialist responsibilities include overseeing our IP database system, providing general patent docketing support, and providing general invention compliance support for the OTC.


Additional Information

Remote Notice: After the 6 month probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. May be required to use personal computer and other standard office equipment. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
