The Information Services Specialist II performs enrollment processing to accept, prioritize, identify, verify, image and index student documents received via electronic transmission or postal mail for campus departments in a timely and accurate manner, using University Admission, Registrar and Financial Aid guidelines.

Minimum Education and Experience

Associate's degree and three years of work experience. An equivalent combination of education and experience is acceptable.

Essential Duties and Responsibilities

  • Image and index all documents using enrollment technology enterprise systems, ensure documents meet quality standards, operate scanning equipment, and verify content is being accurately scanned.
  • Process and authenticate electronic documents in Hyland OnBase system workflow queues.
  • Demonstrate integrity in working with confidential information while maintaining FERPA compliance.
  • Assist in designing, testing, and implementing future workflow enhancements.
  • May serve as Enrollment Operations Mail Room lead, including coordinating with University Central Receiving, overseeing letter fulfillment, and processing checks.
  • Participate in various training opportunities to stay current and improve knowledge base of various platforms and policies affecting document processing.
  • Attend required meetings and support University admission events as assigned.


Additional Information

This position may require overtime during peak periods, including evenings and weekends.

Required skills and abilities:
  • Demonstrated history of integrity and ethical behavior when working with confidential and sensitive information
  • Proficiency in Microsoft Office Suite with ability to learn new software systems
  • Detail-oriented and accurate with the ability to prioritize information in a timely manner
  • Excellent organizational and time-management skills with the ability to multi-task
  • Strong communication and active listening skills with the ability to receive and follow directions and work effectively as part of a team
  • Proactive approach to identifying potential issues and problems


Remote Work Notice
The Enrollment Management Unit provides services and support to our prospective and current student populations. Therefore, this is a campus-based position working daily in our offices.
