Reporting to the Operations Manager, the Project Coordinator maintains a WIP (Work-In-Process) of all open construction contracts and projects from start to finish. This role supports the Project Managers in the Branch by overseeing a multitude of administrative tasks, including managing all required project-related paperwork, monitoring budgets and expenditures, organizing stakeholder communication, ensuring resource availability, ordering / tracking project materials, completing project billing and independent contractor payroll, and ensuring that project deadlines are met in a timely manner.

A successful Project Coordinator should be highly organized, detail oriented, able to work on tight deadlines, and be able to work closely with project managers to create comprehensive action plans concerning resources, budgets, and timeframes for projects. 

Hourly pay range: $25.00 -$30.00/hr

Work schedule: Monday - Friday - 9:00 AM - 5:00 PM

Onsite: Boca Raton, FL

Essential job duties:

  • Assist Project Managers with the day-to-day coordination and management of assigned client projects
  • Manage project-related paperwork, including scope of work, project plan, budget, schedule, change orders, billing schedule of values, subcontractor payments, progress billing, and issues logs
  • Maintain and update the Branch's WIP for all assigned Project Managers
  • Prepare and track receipt of signed contracts to ensure the timely placement of new projects on the WIP
  • Monitor project progress and create/maintain project status reports 
  • Assist in the selection of new qualified independent contractors
  • Schedule and participate in stakeholder meetings and facilitate communication between the project manager, subcontractors, and client stakeholders throughout the project life cycle
  • Track project costs to ensure adherence to the project budget and implement cost-saving measures
  • Conduct monthly backlog reviews, and update percent of completion and Work-In-Process (WIP)
  • Process any required interim project billings to the client
  • Assist with independent contractor assignment
  • Support project manager and project team when implementing risk management strategies
  • Liaise with clients on assigned projects; this is including, but not limited to, communicating project status, securing change orders, and coordinating project scheduling
  • Ensure accurate and timely payment for independent contractors
  • Ensure projects are closed out and billed consistently and on-time
  • Resolve questions or issues pertaining to subcontractor billing
  • Complete tasks on the project plan, as required
  • Performs other duties, as assigned

Qualifications:

  • High school diploma/GED required
  • Associates degree or higher in business management or related field is preferred
  • 2+ years or prior experience in a project or operations coordinator role
  • Experience in construction highly preferred
  • Bilingual (English/Spanish) is a plus
  • Experience with Salesforce is highly preferred
  • Ability to adapt to changing environments and timelines
  • Ability to organize priorities based on deadlines
  • Excellent communication, time management, and organizational skills
  • Accuracy and attention to detail is a must
  • Proficiency in Microsoft Office applications including Excel, Word, PowerPoint, and Teams
  • Must have a commitment to project excellence with a friendly and positive attitude
  • Ability to work independently and as part of a team, with minimal supervision
  • Excellent work ethic, integrity, and accountability
  • Comfort with multi-tasking, prioritizing, and working in a fast-paced environment while managing time effectively
